Job Summary


The Donor Relations Coordinator coordinates the implementation and management of comprehensive gift acknowledgement and reporting programs for the Harvard Law School Donor Relations department.

Working as part of a larger team, the position manages the weekly customized gift acknowledgement letter program, the annual stewardship of scholarship and financial aid funds, and the biannual pledge reminder program.

This position also assists with the coordination and execution of all the Law School's various fund reporting programs, and collaborates with colleagues to prepare correspondence, respond to donor inquiries, and resolve complex questions around gifts.


Position Description

As a Coordinator, you will:


  • Manage the acknowledgement letter program. Generate weekly internal reports; review gift information, designations, pledge payments, and related details and resolve any concerns as they arise; and merge, draft, edit, and send acknowledgement letters signed by the Associate Dean and Dean for Development and Alumni Relations. Oversee periodic language template reviews and updates.
  • Coordinate the annual scholarship reporting program, including outreach to student beneficiaries; performing complex data management in collaboration with the Associate Director of Donor Relations; conducting biographical research on recipients; and merging, sending, and filing a high volume of reports.
  • Manage the biannual pledge reminder process, including reviewing data, partnering with the Donor Services department to ensure accuracy, and preparing cover sheets and other materials for fundraisers.
  • Support the coordination and execution of the Law School's other fund reporting (stewardship) programs. Responsible for generating reports and merges, writing, research, proofreading, student outreach, and other duties as assigned.
  • Review highlevel acknowledgment letters from the President of Harvard to Law School donors.
  • Develop a strong understanding of gift processing in Advance. Work with Donor Services to investigate and resolve giftrelated questions pertaining to acknowledgement letters and fund reports. Coordinate requests for data and keep databases updated.
  • Perform other duties as needed.

Basic Qualifications
5 or more years of experience in office administration or related field (business environment and/or customer service). Education beyond high school may count toward experience.


Additional Qualifications and Skills

We are looking for people who have:

  • Effective proofreading skills and a strong command of English grammar and usage. Experience in drafting gift acknowledgements and correspondence is a plus.
  • Attention to detail, strong organization skills, and the ability to prioritize and manage multiple tasks in a fastpaced and goaloriented environment.
  • The ability to take initiative and proactively manage deadlinedriven projects. Must employ effective communication skills, both written and oral. Must be able to prioritize projects, with sensitivity to changing priorities while meeting deadlines.
  • A commitment to providing highlevel customer service, and the ability to work both independently and as a team member.
  • Confidentiality, discretion, and sound judgment in dealing with donor records and gift information.
  • A commitment to valuing diversity and contributing to an inclusive working and learning environment.

Work Format Details

  • This position is based on campus in Cambridge, MA. There is an opportunity to work a hybrid/remote schedule based on business needs and with management approval.
