PRIMARY FUNCTION:


The Fundraising Coordinator will plan, organize, publicize and implement fundraising events for the organization as well as aid in enhancing the organization's visibility, developing and implementing a stewardship plan and generating funds to ensure healthy and sustainable functioning.


RESPONSIBILITIES INCLUDE:


  • Plan and implement fundraising events including, but not limited to, Annual Benefit Cocktail Party and Online Auction, Golf Tournament and Ladies Night Out. Oversee event logistics, including obtaining sponsorships, soliciting donations and in-kind donations, and preparing related printed materials, and publications.
  • Assist in the creation and organization of the Club's annual fundraising publication in the form of a calendar/notebook/planner.
  • Schedule/coordinate committee meetings, including room set-up, securing of refreshments, table/room set up, etc. Assist in providing support to volunteer committees, including various committees and special event work groups.
  • Assist in preparing and distributing agenda packets, attend and participate in fundraising committee meetings, recording notes/minutes and distributing same.
  • Complete fundraising special events tasks, including phone calls to secure/confirm details, vendor coordination/follow up, interaction with printer, graphic designer, follow up, etc.
  • Assist with donor outreach, including phone calls/solicitation follow ups and outstanding invoices.
  • Provide support for various fundraising projects/initiatives, as needed.
  • Coordinating special event volunteers, confirming schedules, assignments, etc.
  • Tracking attendance/participation for all special events.
  • Assist with writing/coordination and compilation of statistics/data for grant requests.
  • Provide support with donor relations and stewardship program that encompasses donor recognition events and publicity.
  • Develop donor files and maintain confidentiality.
  • Track and prepare year-end accounting for the Board of Trustees and Foundations.
  • Prepare and present for approval proposals to agencies, organizations, and foundations for financial support of the Club via current and other cultivation and solicitation materials, and planned giving, corporation, individual opportunities.
  • Design and implement direct mail programs, for example Annual Fund Drive.
  • Create and compose copy for all fundraising and outreach initiatives.
  • Provide support for various fundraising projects/initiatives assigned by Executive Director, such as endowments and major gifts.
  • Recognize contributions by writing acknowledgement letters, press releases and planning special recognition events.
  • Work with the Donor Database Coordinator to accurately track contributions through "Raiser's Edge" and compare monthly against accounting income.
  • Work with the Donor Database Coordinator to track fundraising income and expenses, compile income status reports and variance reports.
  • Maximize the use of all Club staff during all fundraising events with effective delegation.
  • Encourage and support Board members and fundraising Committee members responsible for planning and implementing resource development activities.
  • Ensure design and development of public relations documents for use in the promotion of fundraising and education of public, including press releases.
  • Ensure the development and distribution of marketing documents and assist with management of Club website and social media venues, Mailchimp and electronic signs.
  • Increase visibility of the Club's fundraising activities and maintain excellent public relations.
  • Complete and submit all required records and reports on time.
  • Participate in all emergency drills and environmental safety activities.
  • Attend all staff and program meetings, assigned trainings, and other work-related functions, as required. Report quarterly, or as invited, at Board of Trustees' meetings and/or Interagency meetings.
  • Abide by all of the Boys & Girls Club policies and procedures, participate as a team member in assigned project activities and perform other tasks, as assigned.
  • Work cohesively with Club staff helping to foster a positive environment for staff and members.
  • Confer with Executive Director with respect to any problems, concerns, etc.
  • Submit all overtime hours or changes in schedule for approval to the Executive Director at least 2 weeks in advance.
  • Maintain work areas in orderly and professional manner.
  • The Club retains the right to change or assign other duties to this position.
