Scope of Position:
Under the supervision of the Program Director, the Administrative Assistant will assist with various aspects of overall program functions. The Administrative Assistant will be responsible for administrative organization.

Will work with management, including Program, Facilities, and Medical staff to assure that the program maintains adequate supplies and ongoing routine Operational documentation.

Assist with updating of operational files and manuals.


Essential Position Functions:


  • Create and maintain spreadsheets in Microsoft Word and Excel.
  • Copying, and Scanning documentation.
  • Assist managers with documentation during the hiring process of new staff.
  • Assist new employees with access to all relevant software, such as AWARDS and DHS CARES.
  • Assist with special quality assurance projects including audits and visits by funders. Keep critical files, schedules and reports up to date and assist with distribution of required reports to funding sources.
  • Occasional fieldwork required: delivering documentation to internal and external offices, such as DHS.
  • Keep training records and track employee training to ensure compliance.
  • In conjunction with Facilities and office staff, order supplies as needed. Responsible for managing the purchasing and inventory of office and nursing supplies as well as furniture.
  • Coordinate with MIS Department on all office equipment.
  • Ability to handle confidential information appropriately.
  • Manage chart room including prepping new charts, archiving, and providing reviews.
  • Ability to work with consumers/residents, families, and staff in a caring and respectful manner, and with due understanding of and consideration for cultural differences.
  • Attending staff meetings, supervision and training as required.
  • Assist with Residence Counselor duties, and act as a Residence Counselor when scheduled and as needed. This may include front desk coverage, assistance with rounds and assist with escorting clients to appointments and housing interviews, as needed.
  • Report any incidents or disruptive behavior to the residence's supervisors and/or staff.
  • Any other duties as may be assigned & special projects as needed.

Educational Requirements:
Associate's degree or High School with related experience.


Qualifications and Experience:
Excellent time management skills; stress resistant, flexible; team player; open to feedback; creative; excellent organizational skills.

Experience with AWARDS preferred; excellent verbal and written communication skills; computer competency; Experience working with mental health, crisis intervention and managing trauma triggered behavior preferred.

Perform CPR/First Aid/AED/CPI/Naloxone. Will be interacting with staff as well as program clientele.


Hours: 35 hours per week, M-F 8-4.
