Description

Coordinates 28 Day Nursing Schedule for all Communities

  • Organizes all request for time off, by utilizing the following documents: Mandatory Service Report, LOA Report, and A-B Holiday.
  • Inputs all request and factors in holiday (if needed).
  • Brings staffing numbers to optimal levels for all units.
  • Posts Preliminary Schedule on the 3rd Friday of Current Schedule on the Fourth Week of Current schedule, reviews Preliminary Schedule for any updates or changes and posts final schedule.

Daily Staffing

  • Roll Call calls every unit to confirm names on staffing sheets. Should a unit have critical staffing Numbers, Staffing Coordinator or Supervisor who is doing rollcall then pulls from another unit to bring unit to acceptable number.
  • Staffing numbers are shared with Community Administrators at Stand Up meeting.
  • Verifies that staff has shown up for schedule hospital trips.
  • Post Staffing Numbers on Board in Lobby (DOH) required. By 10am.
  • Picks up Employee sign in sheets (Employees who left badge, lost badge or having trouble with badge¬) from front lobby.
  • Updates Staffing Sheets in Kronos.
  • Inputs Employee Sign in Sheet Data in Kronos Time Card
  • Prints Staffing Sheets for Next Day.
  • Reviews Staffing Numbers and calls agency (if needed for LPN coverage and reviews OT Sign Up Sheet for OT place on Staffing Sheet if needed)
  • Places Staffing Sheet in Staffing Book.
  • Work on Weekend needs
  • Begin Roll Call.

Staffing for Medical Trips

  • Medical Office sends upcoming weekly trips on Friday.
  • Staffing Coordinator prints report and begins to fill trips utilizing Part time employees. Part timers are called and schedule secured.

Manages Overtime, Agency Usage and Agency Bills

  • Overtime is posted on Units by the end of business day
  • Parttimers receive OT first
  • Agency is called when in house LPN's have been exhausted

Processes PANs in a Timely Manner

  • Personal Action Notices are generated in the following situations:
  • Employee status changes
  • Termination of an employee
  • Employee transfers (to another floor, shift or department)

Processes TAFs in a Timely Manner

  • Processes a Talent Acquisition form for any newly vacant position

Closing Bi-Weekly Payroll by the End of Business Day (Tuesday) of a Pay Week

  • Collect Staffing Sheets for previous 14 days. Review and Confirm with Kronos Time Card
  • Adjust any vacation, sick, leaving Early or mispunches in Kronos System. Confirm Employee sign In Sheets.
  • Calls Director of Operations to approve Payroll.

  • High School diploma or equivalent required.
  • Threefive (35) years' experience in a healthcare/business office environment required.
  • Scheduling and staffing experience desired.

Strong interpersonal skills required.

The hourly rate for this position is $20.27
