Position Overview:


This position requires excellent communication, organizational and interpersonal skills to collaborate with clients/internal teams and to coordinate and track project activities, opportunities, and risks.

The Project Management Specialist will work closely with the PMO to prepare comprehensive action plans, including resources, timeframes and budgets for projects.

You will perform various coordinating tasks, like schedule and risk management, along with administrative duties, like maintaining progress reports, collecting milestone signoffs, and updating PMO of significant changes made by the Project Manager or Steering Committee.


The Project Management Specialist acts as a liaison between the Customer's Project Team and our internal teams whilst providing best practices, defining/analyzing gaps and recommending solutions to the Project Team.

The Project Management Specialist will liaise and work alongside our Programming and Product Specialist teams to validate functionality, specifications, software modifications meet specifications, and ultimate delivery of these solutions to the Project.

Travel, domestically and internationally, is required.


Key Responsibilities
General Responsibilities Include, But Are Not Limited to:


  • Manage and coordinate projects to ensure they are completed on time, with efficient use of resources, facilitating and encouraging collaboration across departments to ensure projects are completed successfully.
  • Lead project teams to develop and gain approval of project plans, which outline the objectives of the project, scope of work, and project elements, including schedule, project deliverables, funding limitations, procedures for accomplishing staff requirements, and allotment of available resources to various phases of projects.
  • Develop and maintain project plans and timelines for all workstreams, highlight risks early, and handle daytoday activities necessary to reach the project goals.
  • Responsible for seeing the Implementation Project through to its ultimate and successful completion regardless of its duration or any other factors, including, without limitation, ensuring successful and timely delivery of all deliverables and successful and timely completion of all tasks (regardless as to who at the Company was actually assigned to deliver the deliverables and/or complete the tasks);
  • Communicate frequently with the PMO to ensure that the appropriate Company personnel and resources are available or reserved as required, progress reports and adherence to deliverable timeline to ensure the overall success of the Implementation Project;
  • Act as the point of contact and communicate the project status to relevant stakeholders. Communicates timeline changes and new information to PMO & internal teams.
  • Communicate clearly with the Project Manager & Project Team to identify and define project requirements, scope, objectives and priorities
  • Ensure that project requests, project issues and questions are addressed, completed on time, and accepted in writing by Customer
  • Acts as a catalyst to remedy project issues and conflicts, engaging the assistance from management, whenever necessary, to resolve issues.
  • Provide lessons learned / recommendations to project team
  • Immediately relay to the PMO any potential pitfalls of detrimental decisions made by Project Manager or Steering Committee that may impact the success or timeline of the Implementation Project; and
  • Adhere to budgets by monitoring expenses and implementing costsaving measures
  • Creates and maintains comprehensive project documentation, plans and reports. Ensures all needed documentation is current and properly filed and stored.

Relationship with Customers and Stakeholders:


  • Builds and maintains relationships, with project sponsors/owners, their project managers, and technical teams by routine onsite visits at the commencement of significant phases. Meets regularly with these individuals to obtain feedback, provide recommendations/direction, seek consensus/input, communicate adjustments/changes, and ensure continued alignment with business and organizational needs.
  • Support the PMO to define and continuously improve standards & methodologies for project management within the organization. Conducting performance management and performance review process for each project.
  • Support the PMO as a liaison between customers and internal teams, updating, tracking, and creating reports to communicate project status to stakeholders and key project participants.
  • Serve as contact for business relationships for project management services and practices.
  • Use of MS Project or similar tools to build detailed, effortdriven project plans with schedules and Microsoft Teams for collaboration between all team members.
