Position Summary

The Scheduling Coordinators play a vital role in efficiently managing transportation services, ensuring timely and effective scheduling of vehicles and drivers to meet the needs of riders.

The Scheduling Coordinator is responsible for organizing transportation schedules, coordinating with drivers and riders, and maintaining accurate records of transportation activities.

Part-time, Monday - Friday, flexible hours.

This position does not have direct reports.


Essential Functions:

  • Develop and maintain transportation schedules for riders, including pickup and dropoff times, routes, and vehicle assignments. Ensure schedules are optimized for efficiency and costeffectiveness.
  • Liaise with riders, drivers, and other stakeholders to coordinate transportation services.
  • Communicate schedule changes, special requests, and other relevant information to drivers and riders in a timely manner.
  • Assign drivers to specific routes and trips based on availability, vehicle capacity, and rider requirements. Provide drivers with clear instructions and directions for each trip, including pickup and dropoff locations, special instructions, and any relevant details.
  • Plan and optimize transportation routes to minimize travel time, fuel consumption, and vehicle wear and tear. Utilize mapping software and other tools to identify the most efficient routes and anticipate potential traffic or weatherrelated delays.
  • Provide courteous and professional assistance to riders and their families, addressing their transportation needs and resolving any issues or concerns they may have.
  • Provide training and support to new drivers, helping them familiarize themselves with routes, procedures, and safety protocols. Offer ongoing guidance and feedback to drivers to promote professional growth and performance improvement.
  • Provide training and continue to mentor new call center representatives until they become proficient in handling incoming calls and scheduling riders.
  • Fill in for Call Center shifts as needed.
  • Manage and coordinate driver, fleet and call center schedules.
  • Monitor Lyft rides, intervene and dispute when necessary.
  • Prepare and distribute monthly City of El Mirage Lyft rider invoices and process incoming payments.
  • Collect, prepare, and distribute monthly reports and invoice the City of El Mirage for services rendered.
  • Coordinate group transportation trips and invoice the Sun City Community Assistance Network (SCCAN).
  • Get the mail three times a week, collect incoming funds and make deposits.
  • Collect donor contact information and provide to administrative assistant to prepare and mail thank you correspondence.

Education and Experience:


  • High school diploma or equivalent required; additional education or training in transportation management or logistics preferred.
  • Minimum of 2 years' experience working in a call center or customer service support role.

Required Knowledge/Skills/Abilities:


  • Prior experience in transportation coordination, dispatching, or scheduling is highly desirable.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fastpaced environment.
  • Strong communication and interpersonal skills, with the ability to interact effectively with riders, drivers, and team members.
  • Detailoriented mindset with a focus on accuracy and precision in recordkeeping and data management.
  • Problemsolving abilities and the capacity to remain calm and composed under pressure.
  • Comfortable handling confidential information.
  • Knowledge of transportation regulations, safety standards, and industry best practices.

  • Regularly required to sit for extended periods, walk, hear and speak.
  • Close vision ability to look at a computer screen for long periods of time.
  • Frequently required to use fingers and controls.
