Position Summary:

The Executive Assistant will assist the Integra Life Sciences (PrecisionQ) sales team with administrative support requests working with internal and external stakeholders. The Executive Assistant will assist with administrative tasks such as EVP calendar management, EVP travel coordination, Salesforce documentation and management, process improvement tasks and content editing/support for sales support documents. This is a fully in office position located in West Palm Beach, FL.

Responsibilities:

  • Complex calendar management across multiple time zones and stakeholders, including last-minute changes.
  • Coordinates external meetings, including live meetings at conferences, live meetings in corporate or client offices, and virtual meetings, as well as related internal prep meetings.
  • Meeting preparation and follow-up, including agendas, dialing details, prep materials, and post-meeting action items.
  • Domestic and internal travel coordination, including flights, hotels, ground transportation, and dining arrangements.
  • Expense report preparation and reconciliation, ensuring accuracy, compliance, and timely submission.
  • Gatekeeping and prioritization, ensuring EVP's time is protected and focused on highest-value activities.
  • Real-time problem solving, handling schedule conflicts, travel disruptions, and urgent requests calmly and efficiently.
  • Ad hoc administrative and operational support as needed in a dynamic environment.
  • Obtain and maintain familiarity with common cancer types to understand customer needs.
  • Support inside sales functions including coordinating schedules and meetings with internal stakeholders such as Legal, HR, Finance, Operations, Analytics and Product Teams.
  • Maintain account contact information in Salesforce.
  • Provide weekly to monthly KPI reports and progression presentations to senior leadership.
  • Drive standardization and automation of current processes, meeting preparation and follow-up and documentation in to improve effectiveness and efficiency.
  • Continually works to identify new opportunities to improve existing processes and to provide further insight into sales pipeline and forecast for senior sales leadership team.
  • Support the leadership to manage Salesforce and SharePoint documents and reporting.
  • Support creating and managing content for social media accounts.

Qualifications:

  • Bachelor's Degree in Business, Marketing, Communications, or a related field preferred. Equivalent work experience will be considered in lieu of degree.
  • 5+ years supporting a senior executive, preferably in sales, consulting, finance, or high-growth tech.
  • Proficient with MS Office programs (Outlook, Word, Excel, PowerPoint).
  • Experience with CRM, calendar, travel, expense, and AI tools (e.g., Salesforce, Concur, Workday, Calendly, etc.).
  • Exceptional analytical, organization and time-management skills.
  • Ability to complete tasks while maintaining positive customer experience (internal and external stakeholders).
  • Excellent verbal and written communication skills.
  • Highly motivated individual that can work independently, as well as participate on team projects.
  • Strong judgment and ability to prioritize independently.
  • High attention to detail with the ability to move quickly.
  • Ability to thrive in a fast-paced and constantly changing environment.
  • Support in person meeting logistics and hospitality.
  • Must be available for full-time, in-office work in West Palm Beach, FL, Monday–Friday, 9 AM–5 PM.
  • Flexibility to work from home as needed to accommodate client and business demands.
  • Availability for after-hours and weekend work when required.
  • 20% travel required for business needs.

Preferred Qualifications:

  • Familiarity with sales cycles, client-facing roles, or revenue organizations.
  • Experience in a startup or fast-scaling environment.
