Summary
We are seeking a highly organized and enthusiastic Event Assistant with a strong drive and passion for this role.

The Event Assistant will work closely with the Event Manager and other team members to ensure the seamless delivery of events, from initial planning through to post-event follow-up.


We are looking for someone who can maintain high energy levels throughout each event and demonstrate genuine care for people in a sincere and authentic manner.

This individual must be a team player, capable of fulfilling all requests under challenging and unpredictable situations, ensuring our clients have an unforgettable experience that fosters a deep connection with our brand.


This position is highly rewarding for someone who thrives under pressure and finds multitasking to be an exciting aspect, especially in the days leading up to an event and on the event day itself.


Responsibilities

  • Assist in the planning and coordination of events, including corporate meetings, conferences, community events, social gatherings, etc. Help create detailed event timelines, checklists, and schedules. Organize facilities and manage all event's details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc. Assist in the setup, execution, and teardown of events.
  • Provide support to event attendees and staff, ensuring a positive and smooth experience.
  • Manage inventory of event supplies and promotional materials.
  • Prepare and process eventrelated documents, contracts, and invoices. Ensure compliance with insurance, legal, health and safety obligations.
  • Build and maintain relationships with team members, clients, vendors, and partners. Anticipate client needs and ensure expectations are met throughout the event planning process.

Qualifications

  • Positive attitude, problemsolving skills, and an ownership mindset.
  • Ability to manage multiple projects independently and act as a brand ambassador, conveying the company's mission, vision, and value to all stakeholders.
  • Strong organizational and time management skills
  • Previous experience in the service or hospitality industry is a plus.
  • Ability to lift and carry event materials and equipment as needed.
  • Ability to work flexible hours, including evenings and weekends, as required by event schedules.
  • High school diploma or equivalent.
  • Excellent verbal and written communication abilities.
