    Job Description

    As the Administrative Assistant, you will assist with overseeing the administration, tracking, and auditing of commercial real estate lease documents ensuring the completeness and compliance of the documents.

    POSITION RESPONSIBILITIES
    • You will be responsible for assisting with the handling of the normal daily operations, including but not limited to assigning, and maintaining of location codes.
    • Ensuring the accuracy of the real estate database by creating new locations, setting up new leases and editing existing lease records per updated or new legal documents.
    • Maintain backup location system used for audit purposes.
    • Coordinating the setup of suppliers by securing and maintaining landlord contact, bank and W9 information.
    • Perform audit process on monthly rent payments out of real estate database, notifying accounting of the monthly rent payments per business entity.
    • Work with accounting to investigate and revise exceptions on the monthly/weekly payment files out of real estate database.
    • Investigate and resolve payment issues such as missing payments, landlord reimbursable invoices, etc.
    • Track movement of branches between locations.
    • Other duties as assigned.
    EDUCATION AND CERTIFICATIONS
    • Minimum Degree: Bachelor's Degree, or the equivalent of experience
    EXPERIENCE
    • Minimum experience: 0 to 3 years
    • Preferred Industry experience: Commercial property management, real estate services or related area.
    • Legal Age Requirements: At least 18 years of age
    REQUIRED SKILLS
    • Excellent analytical and problem-solving skills.
    • Excellent attention to detail, demonstrated integrity and professionalism.
    • Excellent communication skills, both written and verbal.
    • Strong Excel skills and database management skills.
