    Description

    As the Office Assistant, you will play a key role in supporting the administrative functions of our law firm. This position requires a proactive and organized individual who can handle various tasks efficiently and maintain a high level of professionalism in a fast-paced environment.

    Responsibilities:

    • Receive, sort, and distribute incoming mail and packages.
    • Prepare outgoing mail and shipments, including courier services.
    • Document scanning and photocopying/printing
    • Monitor and maintain inventory of office supplies and place orders as necessary.
    • Ensure printers, copiers, and other office equipment are operational and stocked with necessary supplies.
    • Coordinate repairs and maintenance for office equipment as needed.
    • Assist with office space setup and organization, including meeting room preparation.
    • Coordinate office cleaning services and ensure the overall cleanliness and tidiness of the office environment.
    • Address any facilities-related issues or concerns promptly.
    • Greet clients and visitors in a professional and courteous manner.
    • Assist with scheduling appointments and coordinating meeting arrangements.
    • Provide support during client meetings, including setting up conference rooms and arranging refreshments.
    • Assist with data entry and record-keeping tasks.
    • Support administrative staff with various projects and tasks as needed.
    • Maintain confidentiality and handle sensitive information with discretion.
    • Provide backup reception as needed

    Qualifications:

    • Proven experience in a similar role
    • High School Diploma or higher education
    • Excellent communication and customer service skills
    • Ability to multitask and work efficiently in a fast-paced environment
