Position Summary

Key Responsibilities:


ADMINISTRATIVE ASSISTANT

  • Manage incoming and outbound communication as needed
  • Ensure office equipment is maintained, relevant records are up to date, and all administrative processes run smoothly
  • Oversee the maintenance of the office space and equipment, liaising with external vendors and service providers to ensure that all aspects of the office environment are managed effectively
  • Monitor office supplies stock and place orders when necessary.
  • Keep accurate and uptodate employee records in the HRIS (Human Resources Information System); organize and maintain files and databases in a confidential manner
  • Assist with recruitment and coordinate the onboarding process for new hires, including preparing welcome packets, organizing orientation sessions, and ensuring completion of necessary paperwork
  • Plan and execute internal and external events, including meetings, conferences, office parties, and LifeStraw's participation in local events and functions
  • Provide administrative support to the Leadership Team, which may include managing calendars, preparing presentations, and coordinating meetings
  • Help organize employee engagement programs and teambuilding events

CUSTOMER SUPPORT

  • Provide detailed information and support on product features, availability, and usage instructions, assisting customers in making informed decisions
  • Continuously update knowledge on the latest products, promotions, and company policies to provide accurate and helpful information to customers
  • Identify and resolve issues with orders, keeping customers informed throughout the process
  • Process warranty claims, fill spare part orders, and manage replacement part shipments from the office in a timely manner
  • Maintain shipping supplies and equipment; placing orders for supplies as needed
  • Provide feedback to the Customer Experience Manager and Marketing and Brand Team on customer sentiment, product trends, and improvements to process
  • Contribute to achieving department goals and metrics
  • Identify areas of opportunity for improvements to systems and processes to gain efficiencies and improve effectiveness of customer support
