Responsibilities

Answer and direct phone calls: Handle incoming calls and route them appropriately.

Organize and schedule appointments: Coordinate and manage appointments using administrative software.

Assist in the preparation of regularly scheduled reports: Compile and organize data for reporting purposes.

Develop and maintain a filing system: Keep records organized and accessible.

Maintain contact lists: Keep track of important contacts.

Provide general support to visitors: Greet and assist visitors to the office.

Act as the point of contact for internal and external clients: Handle inquiries and requests.

Liaise with executive and senior administrative assistants to handle requests and queries from senior managers: Collaborate with other administrative staff.
Requirements and Skills
- Proven experience as an
Administrative Assistant,
Virtual Assistant, or
Office Admin Assistant. - Knowledge of office management systems and procedures.
- Working knowledge of office equipment, such as printers and fax machines.
- Proficiency in
MS Office (especially
MS Excel and
MS PowerPoint). - Excellent time management skills and the ability to prioritize work.
- Attention to detail and problemsolving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask.
High School degree:
additional qualification as an Administrative Assistant or Secretary is a plus.
