TITLE:
Program Support Specialist


RELATIONSHIP:
This position reports to the Executive Clinical Director with a strong relationship with the Support Center Team. This person does not directly supervise other team members.


Our School Program Support Specialist directly contributes to our mission of making autism and Special Education Related services personal by providing dedicated, engaging support to our clients (Including School districts), their families, providers of services and our local team members.


This includes but is not limited to:

assisting in acting as liaison for new cases filled with providers, assisting with call outs ( deleting schools and families know when a provider calls out), sharing school closures and calendars, assisting in cancelling school closures and breaks on all provider schedules ( Different in each SD), assisting in making schedule cancellations and deletions and working closely with the POD LEADERS ( Special Education POD leaders in NY Only), assisting in managing school district requests, taking messages regarding school issues/complaints and forwarding to the ECD or PSS, scheduling interviews, sharing log notes with schools as requested, and reports with school districts, scheduling CSE's with providers as dictated by SD's, Assist in RFP process by mailing, copying, formatting and spellchecking documents, mailings items at local post office, maintain receipts and completing monthly center card reconciliations, placing amazon orders, re-stocking local clinic with daily supplies, opening mail, scanning items, seasonal decorations of office.

Coordinating staff parties and celebrations, and overall working to ensure smooth operations of the clinic, new hire merchandise dissemination, becoming trained in CPI and basic BT and or RBT skills to fill in on cases in the clinic and surrounding area, and providing clinic coverage is also required.


ADDITIONAL SPECIFIC RESPONSIBILITIES:

  • Assisting in creation and maintenance of new provider schedules by:
  • Answering phones, using Nextiva App, taking messages
  • Maki ng money deposits when requested, opening mail
  • Sending holiday gifts to schools
  • Providing consistent follow up for unconverted and unsigned sessions:
  • Calling, e mailing and texting providers who are late in obtaining signatures and conversions
  • Ensures regulatory compliance with HIPAA, OSHA, labor laws, and other federal, state, and local regulations
  • Disseminate company information and policy changes to local staff
  • Filing and managing SD files in SharePoint, saving and scanning documents and placing in correct folders

Skills and Competencies:

  • Experience within ABA or a Special Education /specialty field a plus, office experience,
  • Associate degree or higher in Healthcare Administration or Business is plus, but not required.
  • Effective communication and presentation skills.
  • Proficiency with Excel and Word, Microsoft 365, etc.
  • Confident communication skills for fielding calls on behalf of the agency and its representatives.
