Position Summary

Key Responsibilities

  • Demonstrate strong interpersonal skills and diplomacy in all levels of management.
  • Work with mínimal supervision, have strong initiative, organization skills and commitment to followup with focus on details
  • Perform diverse administrative duties in support of global project teams (GPTs) including heavy calendar management, meeting scheduling and coordination (internal and external), arranging video, tele
- conferences as necessary for these various meetings; making travel arrangements (domestic and international), processing expense reports; completing independent project work and maintaining Share Point sites for various project teams.

  • Maintain and organize office operations and procedures such as filing system, expense reports, requisition of supplies, and other administration services.
  • Prioritizes activities and takes prompt action based on an understanding of departmental objectives and business needs.
  • Adhere to T&E (travel and expenses) policies, including booking travel and monthly reconciliation of business expenses.
  • Ensure manager's preparedness for meetings (e.g., assemble meeting materials, assist with PowerPoint presentations, & prereads)
  • Maintains professional and technical knowledge by remaining current with BMS continuous learning modules.
  • Proactive management of high profile internal & external events.
  • Positive, proactive team player with ability to build relationships across the HCT PM group and with key stakeholders across the organization. Must be willing to coordinate and provide back up support for other administrative assistants/project coordinators within the group and/or department as needed.
Qualifications & Experience

  • High School degree, some college or degree desirable.
  • 5+ years administrative or comparable experience; prior BMS and Executive Associate Experience preferred.
  • Proficient with Microsoft Suite (Outlook, Word, Excel, Power Point). Knowledge of BMS Systems and Processes strongly preferred.
  • Concur Travel and T&E, Ariba/SAP, Sharepoint, eSetup, Workday, Room Scheduler experience strongly desired.
  • Has strong organizational skills, pays close attention to detail and followup, and properly balances priorities and resources.
  • Maintains a positive attitude, a high level of productivity, adaptable to change, able to learn new tools and systems in an everevolving environment.
  • Demonstrates ability to prioritize, proactively work independently and collaboratively with other administrative assistants/external partners, across organizational levels, functions, and supports business needs across different time zones and during periods of heavy workload.
  • Ability to multitask and adapt quickly to competing priorities while remaining focused.
  • Ability to work effectively under pressure to meet deadlines.
  • Exhibits a positive work attitude, and high productivity.
  • Proven track record of collaboration with other administrative assistants in order to ensure business needs/goals are met.
