- Oversee and manage ABHS administrative functions and supervise ABHS Program Assistants and Office Assistants to ensure compliance with agency policy and procedures, adherence to audit requirements, and efficient data collection requirements. Monitor office procedures to ensure compliance with all applicable regulations. Facilitate meetings, provide on-going training, and disseminate information and/or updates involving administrative changes to staff as needed.
- Provide assistance/support to the Division Director Adult Behavioral Services and Medical Director on short-term and long-term projects. Participate in the ABHS Leadership Team meetings and other Agency committees as needed. Collaborate with Directors, Service Coordinators and Quality Assurance Coordinator to develop and revise procedures. Present new/revised procedures to the Leadership Team and ensure program level staff are familiar with new and/or revised procedures.
- Provide oversight of ABHS program reimbursement system and serve as liaison to the Office of Reimbursement. Provide assistant with monthly revenue collection to ensure accuracy in capturing all billable services. Review insurance eligibility via the Medicaid Website and complete Insurance Verification Services Crisis Care Centers as needed. Implement, develop, and review reports for accuracy, and monitor data to ensure targets are met as required. Provide feedback to the Division Director Adult Behavioral Services and the Medical Director and the ABHS leadership team on billing targets. Attend monthly Administrative Services Coordinator Meetings.
- Oversee the ABHS Central Disbursement Account. Review and approve reimbursement request for purchases/charges. Conduct routine site audits for petty cash and payee accounts.
- Provide ongoing oversight of ABHS revenues/expenditures relative to budget to include, but not be limited to: analyze budget reports/data for individual programs; complete monthly budget reports for Division Director Adult Behavioral Services and Medical Director as needed; monitor monthly line item entry for accuracy; and keep the ABHS leadership team knowledgeable of revenue/expense items needing attention. Collaborate with Division Director Adult Behavioral Services and Medical Director on developing annual program budgets. Attend monthly Fiscal Management meeting. Serve as a liaison with the Agency's Office of Budget & Finance.
- Oversee Kronos timecard records to ensure that ABHS Services program timekeepers follow set guidelines. Responsible for reconciling leave/mileage entry and approval sign-off for ABHS Program Assistants and Office Assistants. Coordinate with the Office of Human Resources and the Budget and Finance office to update personnel and Kronos records. Serve as liaison with the Agency's Office of Human Resources on human resources matters.
- Serve as Credible Representative for ABHS Services to support staff with specific questions regarding services. Review and approve Financial Intakes for ABHS Services as needed. Attend monthly Credible Service Application Team meetings and serve as liaison with the Office of Data and Technology to implement changes/updates with the electronic record database.
- Oversee the ABHS administrative support program to include direct supervision. Coordinate consistent office practices which include reporting, money collections, disbursement accounts, monitoring authorizations, and providing support to individuals and direct service providers. Monitor office procedures and practices to ensure compliance and uniformity with all applicable regulations and requirements.
- Work closely with Youth Services supervisors to expedite compliance with regulatory standards/guidelines and policies/procedures.
- Provide technical assistance to Youth Services staff in the areas of computer software, equipment and training.
- Perform such other duties as assigned by supervisor.

JOB SUMMARY:
The Administrative Services Coordinator oversees, manages, and supervises specific administrative functions for the Adult Behavioral Health Services Services (ABHS) and the Medical Director, as applicable, including but not limited to: data entry, budget review, financial documentation, and office support services to ensure compliance with applicable Agency policies and procedures, DBHDS requirements, licensure regulations, and DMAS/Magellan/MCO regulations/ requirements. Responsible for collaborating with the Division Director Adult Behavioral Health Services and the Medical Director of the Agency to facilitate program development, program evaluation, strategic planning, and procedure development.
ESSENTIAL FUNCTIONS:
EXPERIENCE/EDUCATION REQUIRED:
Bachelor's Degree in a related field preferred and/or other education and experience that meets the criteria of the job.
Extensive knowledge/experience with administrative management, data entry, and accounting required.
Valid driver's license with a good driving record.
