  • Be the first point of contact for graduate students and graduate student applicants to ask questions related to their program. Provide student support and point them towards resources to help them be successful.
  • Maintain graduate student records for PhD and MS students.
  • Assist in reports and record keeping for graduate student assessment.
  • Work with ISO to support international students, educating them on visa requirements as well as ESL class requirements.
  • Coordinate graduate recruitment, including the recruitment weekend and individual visits.
  • Coordinate new graduate student orientation.
  • Support and schedule graduate student programming, including DEI programming and career programming.
  • Be the administrative assistant for the DGS and the graduate studies committee, helping them coordinate programs, awards, and fellowships, and helping prepare reports and perform other tasks as needed.
  • Help with room scheduling and parking requests by graduate students.
  • Independently generate complex and detailed presentations and reports.
  • Interpret and communicate departmental and divisional policies and procedures, making decisions on specific operating problems and issuing instructions.
  • Study reports received, check, and compare with previous reports or other data, and bring to the attention of the supervisor significant items, changes, errors, or omissions.
  • In addition to the above job responsibilities, other duties may be assigned.

Senior Administrative Coordinator

Six years of experience. Bachelor's degree may substitute for experience.

The Graduate Programs Coordinator will report to Seth Matula, Department Finance and Administration Manager for the Chemistry Department.


PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

This position is located In Charlottesville, Virginia.

The anticipated start date is as soon as possible but preferrable by May 1, 2024. This position is a restricted position and is dependent upon project need, availability of funding and performance


Anticipated Hiring Range:
$55,000-60,000 commensurate with education and experience. This is a Non-Exempt level, benefited position.
