Overview:

The Operations Manager will work strategically with our team to advance our goals around sanctuary, education, and animal advocacy.

In this role, you will provide integral support to our team across various operations functions and significantly impact our work.

You will ensure we are operating optimally and set up to succeed by ensuring all our operational activities are running seamlessly, and that the whole Animal Place team feels well-supported to focus on their areas of responsibility.

In this role, you will implement strategies, actions, and controls to evolve our operational processes and drive efficiencies. You will also be a key support for the rest of the team.


Core Responsibilities

  • Create processes and procedures needed for running internal and external business activities
  • Establish, monitor, manage, and improve procedures and processes
  • Manage organizational projects in Asana as they relate to company goals, objectives, and key results. Drive team activities and ensure the execution of deliverables

IT

  • Oversee the systems and tools that we utilize, ensuring the team has everything they need, including issuing software licenses such as Office 365, Slack, Asana, and Virtuous
  • Oversee the IT equipment and setup, including computers and printers
  • Manage the organization and storage of digital assets

HR

  • Manage the onboarding and offboarding process for team members
  • Perform background checks and Department of Motor Vehicle Checks
  • Manage various team trainings
  • Oversee employee handbook, policies, and processes, and keep them updated
  • Oversee the employee performance development processes and annual cycle

Administrative & Legal

  • Manage office supplies and negotiate discounts with vendors
  • Provide general administrative support to the Executive Director
  • Manage memberships with our local chamber of commerce
  • Assist in the shared responsibility of answering the phone
  • Work with our lawyers to manage and revise agreements as needed
  • Oversee all annual filing requirements, including annual state filings
  • Ensure applicable insurance is in place for our operations

Finance/Accounting

  • Manage the annual budget process and track actual spending against the budget
  • Oversee all accounting activity, tax filings, and financial processes
  • Oversee all incoming fundraising and donation processes
  • Manage the payroll and expense processes
  • Administer our 403b for employees
  • Manage relationships with brokers, including health insurance and business insurance needs
  • Manage our yearly audit

Qualifications and Skills

  • Minimum 2 years of operations experience
  • Selfmotivated, able to work independently
  • Has a continuous improvement mindset, always looking for ways things can be done better
  • Excellent writing skills
  • Excellent communication (oral and written) and interpersonal skills
  • Excellent command of office technology tools, including Office 365, Google Suite, Asana, and database software
  • A strong belief in the mission of Animal Place and an understanding of the impacts of animal farming

Pay:
$65, $75,000.00 per year
