General Summary of Position
Performs a variety of clerical support services such as typing, filing, photocopying, and answering telephones.


Primary Duties and Responsibilities

  • Answers telephone, screens and routes calls, takes messages, and provides information according to department procedure.
  • Assists in the accumulation of data and the preparation of reports and correspondence.
  • Assists in the distribution of information and processing of laboratory receipts.
  • Completes purchase orders and miscellaneous forms; checks, proofreads, sorts, assembles and distributes materials; operates standard office equipment such as calculators, copy machines, and typewriters.
  • Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards and safety standards. Complies with governmental and accreditation regulations.
  • Orders and maintains office supplies.
  • Participates in meetings and on committees and represents the department and hospital in community outreach efforts as required.
  • Participates in multidisciplinary quality and service improvement teams.
  • Responds to requests for information and assistance in a timely manner.
  • Schedules appointments and meetings.
  • Sets up and maintains departmental files and records and assists in maintaining office systems. Organizes and files information, reports, and correspondence.
  • Sorts, prioritizes, and distributes all incoming mail.
  • Types letters, memos, minutes, and other materials.
  • Maintains and accurately reports system errors regarding mail room equipment and supplies. Tracks equipment malfunction/downtime. Validates preventative maintenance for mail room equipment. Maintains the daily performance benchmark for prepping documents. Maintains the daily performance benchmark for processing incoming and outgoing mail and deliveries. Maintains the daily performance benchmark standard to assure timely mailing of patient letters sent through USPS mail.

Minimum Qualifications

Education

  • High School Diploma or GED required or equivalent
- knowledge of medical terminology preferred


Experience

  • 1 year 6 months clerical/office experience required

Knowledge, Skills, and Abilities

  • Typing and computer skills.
