The role you'll contribute:


The Physician Office Coordinator is responsible for planning, controlling, organizing and directing the day-to-day operations and activities of the physician affiliate office or physician department.

Assists the physician in providing medical care to patients of various ages according to the policy of individual practice, in accordance with professional standards and hospital policies and procedures.

Adheres to the Florida Hospital Corporate Compliance Plan, and to all the rules and regulations of all applicable local, state, and federal agencies and accrediting bodies.

Responsible for helping practice and physician achieve all meaningful use measures.

Demonstrates effective use and support of the Customer and Superior Service Standards, within the hospital and physician office settings, at all times.

Functions under the supervision of the physician and the Practice Manager/Office Supervisor.


The role of the coordinator includes working closely with all staff members to ensure work is completed in a timely and efficient manner.

Responsible for making schedule changes and adjustments in order to accomplish this task.

The team leader may also need to fill in if there are absences or shortages within the department, as well as be the trouble shooting guide for any problems that arise.

This position consists of quality detailed work, as well as great communications with other staff, supervisor, director, customers, and physicians in order to achieve excellence within the physician office/department.

  • Manages the physician affiliate office/department in a cost-effective, efficient manner assuring that staff provides high quality care in a courteous and friendly atmosphere.
  • Regularly reviews billing practices to assure physician and office reimbursement is appropriate
  • Assists the Practice Manager and/or Director of Practice Operations in preparation of annual budget, as requested
  • Reviews and analyzes Responsibility and Expense Detail Reports
  • Demonstrates ability to read and understand reports
  • Understands expense variances and is able to provide justification for same
  • Takes corrective action, when necessary, to correct negative variances
  • Demonstrates understanding of budgetary limitations
  • Properly assigns payables and credits against budgetary categories
  • Assures correctness and timeliness of Accounts Receivable and Accounts Payable
  • Demonstrates understanding of Chart of Accounts
  • Properly completes and submits Petty Cash Reimbursement/Reconciliation form
  • Ensures security of money (cash, checks and credit card vouchers)
  • May prepare and track data which reflects turnaround time and test results.
  • Prepares and presents employee evaluations and in a timely manner.
  • Participates in monthly staff meetings.
Minutes and a roster are maintained.

  • Coordinates completion of employee competencies in a timely manner
  • Prepares, updates and tracks department schedules to ensure adequate staffing coverage in practice to include oncall schedules, prn staffing and PDO days for employees and physicians.
  • Demonstrates ability to interpret and enforce Florida Hospital Memorial Medical Center and HealthCare Partners policies and procedures
  • Assures staff is knowledgeable about, and complies with, local, state and federal regulations
  • Maintains medical records in compliance with Florida Hospital Memorial Medical Center, HealthCare Partners, TJC and HIPAA requirements with respect to patient confidentiality, security and completeness.
  • Maintains complete and updated Policies and Procedures manuals including, but not limited to:HealthCare Partners, Administrative, Safety/Disaster, Infection Control and MSDS.
  • Assures that office meets Safety and Infection Control standards.
  • Responds to problems/concerns of the physicians and staff members of the practice.
  • Assists with physician credentialing as necessary.
  • Acts as practice liaison for patients and staff.
  • Provides reports and statistics as requested by management.
  • Performs other duties and tasks as assigned by Practice Manager and/or Director of Practice Opera
