Major Duties


The International Operations Division's Executive Staff is responsible for supporting the daily activities of the IOD Front Office, supporting IOD executive managers, facilitating the development of strategic goals, and implementing the division communication plan.

In addition, ExecStaff manages policy and compliance, prepares executive daily briefings, provides executive management speaking notes, supports executive management travel overseas, and manages special projects as requested.

The selectee will perform the duties of a Management and Program Analyst (MAPA) GS12 in the role of executive assistant in support of IOD executive management, reporting to the Chief of Staff.


Duties will include:

  • Serves as the executive assistant to the Deputy Assistant Director (DAD) and Associate Deputy Assistant Director (ADAD), responsible for administrative functions such as the scheduling of meetings, deconfliction of executive calendars, and screening of incoming calls and visitors.
  • Coordinates closely with the Chief of Staff, Special Assistant and other Executive Assistants to prepare the DAD and ADAD for all meetings and speaking engagements, ensuring readaheads are received on time.
  • Handles all incoming communication and reviews, analyzes, and assesses each correspondence, in collaboration with the Chief of Staff, to determine the proper action required.
  • Assists with responding to DAD/ADAD level correspondence as requested.
  • Uses sound judgment to determine when quick decisions are needed, when decisions should be raised to the Chief of Staff, DAD or ADAD, and when additional information is required.
  • Coordinates with Operations and Legat's to obtain additional information needed when scheduling events on the DAD/ADAD calendars.
  • Coordinates with ExecStaff team to ensure briefing materials are provided for the daily executive management briefing books.
  • Provide logístical support for division widemeetings including allhands and annual conferences.
  • Serve as the Division point of contact for assigned administrative services and programs.

Specialized Experience (SE):

GS-12: Applicant must possess at least one (1) year of specialized experience equivalent to the GS-12 grade level.


SE is defined as follows:

  • Experience in administrative support activities in order to make recommendations regarding the centralization or decentralization of operations.
  • Experience managing multiple projects and/or assignments simultaneously to successfully meet established deadlines.
  • Communicate clearly and effectively, both orally and in writing, in order to tactfully and persuasively advise and guide executive management.
