- Organizes, maintains, and manages the administrative functions of the Executive Director of Productivity Partners and their direct reports.
- Manages, coordinates, schedules daily agenda and manages minutes for meetings.
- Manages vendor relationship and recordkeeping.
- Prepares letters, reports, and other documents as assigned.
- Maintain filing system and correspondence for Productivity Partners.
- Develop and maintain digital filing system.
- Provides accounting functions such as maintaining accurate reporting for expenses, etc.
- Manages calendars for Senior staff, including making travel arrangements.
- Administers mailings both physical and virtual for the department.
- Coordinates on-site and virtual trainings.
- Researches and Compiles information for reports and presentations
- Drives special projects as assigned by supervisor.
- Attends mandatory training and in-services.
- Demonstrates a professional level of verbal and written communication while participating in meetings, answering emails, engaging in phone calls, and other correspondences.
- Ability to critically think through problems from a solutions-based approach.

- Ability to collaborate with others with diverse backgrounds and experiences.
- Proficient with MS Office and other scheduling software applications.
- Superior verbal and written communication skills.
- Excellent customer service skills.
- Associates degree or equivalent.
- At least 3 years' experience as an Administrative Assistant.
- Pass PA Criminal Background Check.
- Obtain Child Abuse and FBI Fingerprinting Clearances.
- Pass Drug Screen.
- TB Test.
- Hybrid position with occasional travel to corporate offices or on-site customer locations.
- Minimal physical demands.
- Significant mental demands include routine decision making, continuous attention to detail and high mental and visual concentration.

Job DescriptionDescription:Gateway Rehab has an outstanding opportunity for an Administrative Support Coordinator who is responsible for the administrative support for the Productivity Partners team which includes services such as EAP, Training, Coaching & Consulting.
This is a hybrid position with occasional travel. Ideal candidate will live within a 90-mile radius of the Greater Pittsburgh Region. Two days a week on-site at a Team Location.
This position also maintains and coordinates vendor payments and prioritizes active client life cycles. This position receives regular supervision and instruction.
