    Proposal Coordinator
    Herndon, VA (2 days onsite)


    MUST:
    Experienced Proposal Coordinator
    2 – 4 years of Proposal Coordinator for Federal Commercial, State and Local Government
    2 – 4 years RFQ, RFI, RFP
    2 -4 years of Proposal Coordinator & Proposal Writing
    Experience supporting C-level executives, Capture Managers, and Proposal Manager/Writers as it pertains to the proposal process ; Familiarity with RFP, RFI, RFQs
    Must be able to meet deadlines and quickly adapt to shifting priorities and workflow
    Must be proficient with Office365 and Adobe applications
    Bachelor's degree preferred or equivalent of education and work experience is required


    DUTIES:
    Coordinate with the Proposal team to include supporting; C-level executives, Capture Managers, and Proposal Manager/Writers
    Assisting with the creation of capture and proposal templates and updates
    Maintaining and updating the pipeline and updating subsidiary Presidents accordingly

    Creating folders on the x:
    drive as opportunities are moved to pursue, and, update if decision to pursue is changed
    Maintaining folders by updating RFP revisions and other related document revisions
    Monitoring data calls, ensuring all are complete and submitted for opportunities
    Providing creative and technical support for researching, drafting, and editing proposal content
    Assisting with final proposal formatting and production
    Submitting graphics requests and ensuring responses are final
    Managing small task order responses with the assistance of the Proposal Manager/Writer
    Providing Client and administrative support to the proposal and capture team as necessary
    Researching, compiling, organizing, and revising information from various sources to generate Client documents including presentations, task order requests, capability statements, and responses to Requests for Information (RFIs) and Requests for

    Quotations/Proposals

    (RFQ/RFPs).
    Analyzing, reviewing, and fully understanding stated requirements in various Government statement of work/performance work statement or solicitation documents to manage production, maintain quality control, and ensure compliance with standard requirements on each response, including corporate style guide/branding guidelines, department

    procedures/standards,

    customer instructions, and mandatory solicitation requirements
    Distributing RFP and associated materials and ensuring that all updates, amendments, and modifications are communicated across the Client/proposal development team
    Drafting response outlines and pulling together initial inputs based on available content, and uses available inputs to develop new responses
    Assisting with researching, writing, editing, and formatting throughout the proposal process based on style guides and the proposal plan, and supporting the final proposal production and packaging, as applicable
    Preparing proposal documents in coordination with proposal manager/writers, meeting required deadlines to ensure that the final output is compliant with the RFP and proposal plan
    Coordinating all proposal data and production efforts to produce high quality documents for reviews and approvals
    Maintaining and updating general proposal files/folders including project descriptions, resumes, written proposal sections, past performance, graphics, and related templates
    Scheduling meetings and making certain that all materials needed for meetings, including presentations, agendas, conference lines/equipment, and related needs, are handled
