Overview:


The Office Coordinator is directly responsible for the daily supervision and training of patient support specialists and providing quality review and feedback as needed.

Under the direction of the Operational Manager, the Coordinator will implement and monitor policies and procedures and perform employee performance evaluations when appropriate.

The Coordinator will actively manage the Scheduling, Registration, Authorization Modules.


The Role:


Oversee and performs daily administrative tasks, including appointment scheduling, patient registration, prior authorization at the outpatient clinic, Service and Charge Order-Entry/verification, pre-certification, handling telephone messages, managing prescription requests, and medical records management.


  • Facilitate effective communication between healthcare providers, patient support specialists, volunteers, and patients.
  • Expert in the front office operational workflow, understands the electronic medical record system, and provides onthejob training and education to the patient support specialists and volunteers.
  • Liaison between the front desk, clinical support, billing and financial assistance team with relaying messages and addressing concerns. In addition, coordinate with the billing and financial assistance to ensure accurate and timely billing.
  • Assist the front desk as needed with coverage, telephone support, and receive escalated calls from the front to address patient concerns.
  • Monitor inbasket communication and work que between patients and administrative staff.
  • Support high risk patients with registration process (completing the intake packets) as needed to ensure smooth workflow and maintain excellent customer service. Assist patients in understanding their insurance coverage and benefits.
  • Provides continual feedback to the patient support specialist on quality assurance and customer service as well as inform supervisor (Operational Manager) on issues.
  • Monitor petty cash, consolidate and review daily batches collected in the front desk team, and route to the manager for final approval.
  • Maintain and Order office supplies; Ensure compliance with safety and regulatory standards; and coordinate and complete work orders for IT support.
  • First line in addressing patient concerns, complaints, or issues promptly and professionally. If additional support is needed, then routing the patient concern to the manager.
  • Continuous problem solving and decision making throughout the day in the delivery of patient and departmental service. Monitors and evaluate staff and systems, noting and reporting deficiencies and making corrections in order to achieve maximum departmental productivity and patient /client satisfaction.
  • Serves as a backup to Manager in most functions, contributing to management initiatives, cost containment, productivity and efficient operation of the department.
  • Actively promotes opportunities to build skills of self and coworkers by utilizing time in a productive and focused manner.
  • Demonstrates professional, courteous, and respectful attitude during interactions with patients and guests of the health center.

Requirements:


  • Associates Degree or Business Institute Certificate; some college education or relevant certification is often preferred.
  • Proven experience in a medical office setting or similar administrative role.
  • Familiarity with medical terminology, office management software, and electronic health records (EHR) systems.
  • Excellent organizational and multitasking skills.
  • Strong communication and interpersonal abilities.
  • Knowledge of healthcare regulations and compliance.
  • Attention to detail and accuracy in recordkeeping.

Preferred:


  • At least four years prior administrative/call center/customer service experience.
  • Experience with administration of electronic medical records (EMR)
  • EPIC.
  • Exposure/experience with medical terminology and provider billing practices.
  • Demonstrated understanding of HIPAA regulations.
  • Bilingual (Spanish) is a plus.

Physical Requirements:


  • Must be able to stand for up to 8 hours a day
  • Must be able to bend without restrictions
  • Must be able to lift a minimum of 50 lbs.
  • Must have excellent hand/eye coordination
