Position/Purpose:
The Business Office Manager oversees all business office operations, including front desk/reception, scheduling, insurance verification, and medical records.

The scheduler performs optimum utilization and coordination of surgery schedule time by efficiently planning and organizing the daily schedule.

Duties include scheduling appointments, clerical tasks, giving information to callers, coordinating physician and anesthesia requests and performing special projects and duties as assigned by nursing management.

Position Supervises: Reception staff, surgery scheduler, insurance verification, medical records clerks

Interpersonal Relationships: As a representative of Payroll Express, LLC, all comments, attitudes, actions and behaviors have a direct effect on the facility's image and perceptions of quality service. Interaction with patients, families, physicians, referral sources, affiliating schools, visitors, volunteers, co-workers, supervisors, vendors, etc. must be in a manner that is friendly, supportive, courteous, respectful, cooperative, and professional. This behavior should promote an atmosphere of teamwork, which is congruent with facility standards and guidelines to promote positive relations.


POSITION REQUIREMENTS:
Licenses or Certifications: None

Total Education, Vocational Training and Experience: High school graduation or equivalent. Prior experience in medical office environment and knowledge of insurance benefits is desirable. Medical terminology, computer and office equipment skills required.

  • Knowledge of medical terminology and surgical procedures preferred.

General duties:


  • Daily processing of mail.
  • Assign and/or complete projects as requested by Administrator.
  • Ensure all tasks in each department are complete and accurate for following day.
  • Handles and screens inquiries for the Administrator from employees, physicians, patients, or outside vendors.
  • Biweekly processing of timesheets for payroll.
  • Exhibits excellent relations when working with employees, physicians, physician offices, patients and families.
  • Assists other surgery center business office personnel as needed.
  • Front desk/reception
  • Ensures reception staff are maintaining pristine environment at front desk and in patient waiting areas/lobby.
  • Ensures reception staff admits patients in an accurate, thorough, and timely manner consistent with procedures and handle payment transactions accurately and securely.
  • Ensures reception staff are professional, friendly, and helpful.
  • Ensures reception staff prepares all charts and forms accurately and completely for the following day.
  • Able to communicate insurance benefits to patients and families as needed.
  • Ensures scheduling staff coordinate physician/anesthesia requests, patient appointments, and patient flow accurately and completely.
  • Ensures scheduling staff inform appropriate managers/purchasing department of special requests
  • Insurance Verification
  • Ensures insurance verification staff accurately and efficiently verifies eligibility and benefits for all patient surgical cases.
  • Ensure insurance verification staff accurately and professionally communicate financial information to patients and physician's offices.
  • Ensures medical records clerks maintain all patient charts (paper and electronic) and that all data entry is completed accurately.
  • Ensures medical records requests are reviewed before they are completed and that responses are accurate and complete.

Safety Requirements:
Adheres to established surgery center safety requirements and procedures to ensure a safe working environment.

  • Demonstrates competent usage of proper body mechanics in all activities.
  • Identifies potentially unsafe situations and notifies supervisor.
  • Practices infection control and standard precautions as instructed or trained.
