Job Summary
The Operations Supervisor serves to improve the efficiency of our organization's process and client overall care. Neurish Wellness has facilities located in Tustin & Costa Mesa.

This innovative, evidence-based treatment program is specifically designed to treat primary mental health diagnoses including ASD, and most co-occurring disorders.

Under the direction of the Program Director, the Operations Supervisor will play a key role in ensuring overall efficient operations of Neurish Wellness.

The Operations Supervisor will be responsible for supporting the Program Director with the organizational day-to-day needs of support staff and client operations.

The Operations Supervisor will help develop and execute aspects of client and support staff service delivery, quality assurance, governmental regulations, licensing, regulatory compliance, program policies and procedures, assess and address clients' needs and issues.

The position will be hands-on, interacting and coordinating with management, staff, and patients.


Responsibilities

  • Lead and develop a team of front line of Support Staff, assessing their work and giving them feedback to maximize performance.
  • Develop, schedule and train workforce, build relationships and utilize skills of team most appropriately.
  • Resolve escalated client issues by working closely with the Program Director
  • Execute crossdepartmental communication and coordination to escalate and resolve client issues.
  • Participate in activities designed to improve customer satisfaction and business performance.
  • Maintain and update procedural manual.
  • Clarify processes when questions arise.
  • Ensure that communication processes are operational, all necessary components of the system are in place such as Signal communication.
  • Serve as point of contact for financial issues and operations troubleshooting.
  • Collaborate with Program Director regarding specific technical issues as they arise.
  • Work closely with Program Director for patient specific issue resolution.
  • Notify Program Director and work with IT to maintain systems and correct issues that arise (e.g., phones, KIPU, employee logins, etc)
  • Learn KIPU EMR system deeply to be the first line of troubleshooting with issues.
  • Ensure completion of operational tasks
○ Facilities Shift Checklist, Household Inventory, and ensure Neurish Wellness facility standards are upheld.

  • Supply team members with hardcopy documents as needed.
  • Collaborate with Program Director on employee schedules.
  • Monitor operational integrity as additional procedures are created and facilitate the execution of new procedures.
  • Demonstrate mastery of operational systems such that details of bringing additional sites/regions online are addressed fluently procedures are followed and monitored as new rollouts occur.
  • Monitor staffing needs to ensure that additional staffing is secured as Neurish Wellness's team becomes saturated with increased referral volume.

Experience

  • High School Diploma or equivalent (bachelor's degree preferred)
  • 2 years of healthcare operations experience
  • Microsoft Office experience; strong Excel skills (pivot tables, complex formulas, lookups)
  • Strong technical and analytical skills
  • Excellent written and verbal communication skills and ability to handle sensitive and confidential information.
  • Ability to dig in and take ownership of responsibilities.
  • Ability to work in fast paced environment and meet critical deadlines.
  • Ability to work in a team environment and maintain open communication with coworkers.
  • Highly organized with strong attention to detail and accuracy
  • Some flexibility regarding peaktime work requirements
  • A commitment to excellence and the ability to communicate to individuals at all levels and roles.

Pay:
$ $28.00 per hour

Expected hours: 40 per week
