Description

Guided by firm objectives and priorities and under limited guidance, assist in the research, planning and coordination of client events and firm meetings.

Develop positive relationships with internal and external clients and vendors. Develop and maintain records and resources for event planning. Work with all levels of personnel on client events as well as office, department, and firm meetings and events. Ensure client service and satisfaction are attained in all areas of the position.


ESSENTIAL FUNCTIONS

Client Events & Firmwide Meetings Coordination

  • Work closely with the Senior Manager of Travel & Events as well as other members of the Events Team to ensure client events and firm meetings are effectively and efficiently planned, consistently professional, and costeffective.
  • Coordinate various aspects of program registration to ensure registration is seamless.
  • Coordinate closely with others on the Events Team to ensure that program and events materials are prepared timely and follow Firm standards.
  • Provide inperson, onsite support as needed for meetings and events.
  • Research meeting & event locations (restaurants, hotels, and other event venues). Provide detailed information to event owner so they can make informed decisions.
  • Maintain complete, organized, and accessible records of all client events and firm meetings events to track details, provide status, and resource information.
  • Review hotel/event contracts so they adhere to firm standards and requirements as requested.
  • Assist Events Team to create campaigns in Salesforce.
  • Update Salesforce with new contact information, help draft internal followup communications with attorneys and firm management.
  • Help create run of show for client and firm events and provide direction for dayof event support.

Vendor Relationships

  • Consistently promote and model the Firm's Client Service Principles in teamwork, work product, and personal interaction. Consistently demonstrate a high level of professionalism in all aspects of demeanor, work product, and communication.
  • Develop strong, positive relationships with vendors, destination management companies, etc., to ensure that all meetings and events are coordinated with seamless attention to detail and are highly responsive to firm and client needs.
  • Remain current in industry trends in meetings and the legal profession.
  • Strong proficiency in technology relevant to the position; proactively use most current technology to further teamwork, client service, and efficiency.

Client Service, Confidentiality and Safety

  • Consistently promote and model the firm's Client Service Principles in teamwork, work product, and personal interaction.
  • Ensure exemplary client service to all internal and external clients; proactively promote client service throughout department and among teams; respond to requests with recognition that request serves a client or firm need.
  • Ensure compliance with the firm's Information Handling Policy, including safeguarding confidential and personal information, and reporting any suspected breach appropriately and immediately.
  • Adhere to the firm's General Safety Practices and any unique safety practices for department and building.
  • Other duties as assigned.

QUALIFICATIONS

Education and Experience

  • High school diploma required; bachelor's degree preferred.
  • Minimum of three years' experience in events planning or related applicable experience.
  • Previous law firm or professional services experience desired.
  • Teamwork and Applied Skills
  • Excellent organizational and project management skills; ability to manage multiple requests, prioritize work and achieve solutions under strict and competing deadlines.
  • Excellent attention to details in all areas, including writing, copy editing, researching, followthrough and managing data.
  • High degree of motivation, with driving sense of responsibility, accountability, and responsiveness.
  • Excellent written and oral communication skills.
  • Ensure expertise in technology relevant to the position; proactively use most current technology to further teamwork, client service, and efficiency.
  • Prior experience with Salesforce strongly preferred.
  • Talent for creating client satisfaction; demonstrated ability to focus on the client value in all work.
  • Aptitude to work within a high stress environment.
  • Ability to prioritize workload and work independently.
  • Reliable, dependable, and motivated to respond to requests quickly.
  • Maintain confidentiality of firm information, observations, or viewpoints regarding firm business matters.
