As a Transportation Administrator, you will play a pivotal role in facilitating the smooth operation of our transportation department by managing administrative tasks, fostering vendor relationships, and supporting driver operations.

Your responsibilities will include invoice processing, vendor communication, driver profile maintenance, call and message handling, and assisting with various tasks delegated by upper management and dispatch.


Key Responsibilities:


  • Invoice Processing:
  • Collect, review, and process invoices for transportation services rendered.
  • Ensure accuracy and completeness of invoice documentation.
  • Liaise with the accounting department to facilitate timely payment to vendors.
  • Vendor Communication:
  • Maintain regular communication with vendors to ensure positive relationships and resolve any issues promptly.
  • Verify vendor accounts to ensure compliance with contractual agreements and payment terms.
  • Address inquiries and concerns from vendors regarding payment status or service delivery.
  • Driver Profile Maintenance:
  • Update and maintain driver profiles with accurate information, including licenses, certifications, and training records.
  • Ensure compliance with company policies and regulatory requirements for driver qualifications.
  • Coordinate with the HR department for onboarding and offboarding procedures as needed.
  • Call and Message Handling:
  • Direct incoming calls and messages to the appropriate department or personnel.
  • Provide assistance and information to callers regarding transportation services, schedules, and inquiries.
  • Relay messages accurately and promptly to ensure efficient communication flow.
  • Task Assistance:
  • Assist upper management and dispatch with various tasks as assigned, such as data analysis, reporting, or project coordination.
  • Prioritize and manage tasks efficiently to meet deadlines and support departmental objectives.
  • Collaborate with team members to ensure task completion and alignment with organizational goals.

Qualifications:


  • High school diploma or equivalent; additional education or certification in business administration, logistics, or related field is a plus.
  • Proven experience in administrative roles, preferably within the transportation or logistics industry.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to multitask and prioritize workload effectively in a fastpaced environment.
  • Familiarity with transportation regulations and compliance requirements is advantageous.
