Executive Assistant Responsibilities

In this dynamic role, you will be the CEO's go-to person, ensuring their day-to-day operations run smoothly and efficiently. You will anticipate needs, manage their schedule, and serve as a confidential point of contact.

— What You'll Do:


  • Schedule Management:
  • Manage the CEO's calendar, prioritizing appointments, meetings, travel, and deadlines.
  • Prepare agendas and briefing materials for meetings and presentations.
  • Travel Coordination:
  • Organize domestic and international travel arrangements, including flights, accommodations, and itineraries.
  • Manage travel logistics and ensure smooth execution of the CEO's trip.
  • Communication and Collaboration:
  • Liaise with internal and external stakeholders on the CEO's behalf.
  • Manage confidential information with discretion and professionalism.
  • Project Management:
  • Proactively manage and support the CEO's special projects and initiatives.
  • Conduct research and prepare reports and summaries as needed.
  • Maintain an organized filing system for the CEO's office.
  • Office Management:
  • Oversee the smooth operation of the CEO's office, including ordering office supplies and managing guest relations.
  • Coordinate with administrative staff to ensure efficiency and support.

To qualify, you should have:

  • Minimum 3 years of experience as an Executive Assistant or similar role.
  • Exceptional organizational and time management skills with the ability to prioritize effectively in a fastpaced environment.
  • Strong communication, interpersonal, and diplomatic skills.
  • Impeccable attention to detail and a commitment to accuracy and confidentiality.
  • Ability to anticipate needs, think independently, and take initiative.
  • Discretion, professionalism, and a positive attitude.

Not required but preferred:

  • Experience working within a similar industry — Construction, Plumbing and/or Restoration
  • Bilingualism (English and Spanish).
