BJ is led by Rabbis Rolando Matalon and Felicia Sol and a senior leadership team responsible for all content and administrative areas.

BJ has a staff of approximately 50 full time and 10 part time employees.


Our pivot to all-virtual programming during the COVID-19 pandemic expanded our reach substantially to thousands of additional individuals and families from around the country and beyond, who now regularly join us for prayer and learning.

Our post-pandemic vision includes a dynamic hybrid operation where most of our offerings are available in-person in our historic Upper West Side campus, as well as through various online platforms.

We have an in-house A/V staff to support many types of programs and events throughout our multiple and flexible spaces.


Job Overview


The
Event Operations Manager (EOM) will report to the Director of Operations and serve on the operations team, which also includes facilities management.

This is a full-time,
temporary replacement position, anticipated to last approximately six months. The EOM will supervise a portion of the operations crew. Additionally, the EOM will work closely with the program team to support their in-person events. This person will work primarily on-site, with a flexible, non-traditional schedule that includes regular Shabbat and holiday coverage. Overall the function supports programming daily throughout the year.


Key Responsibilities include:


  • Manage all internal event logistics
  • Manage BJ internal calendar for BJ campus and programs
  • Run weekly production meetings with program administrators and other program leads
  • Review all program setup forms from program administrators and leads and review with facilities team
  • Make weekly (or as needed) tech run of show for all events happening at BJ
  • Review floor plans and delivery schedules for BJ programs and events
  • Manage events on the day of, on site as needed
  • Manage all private event logistics
  • Respond to inquiries in a timely manner
  • Keep rental pricing and guidelines up to date, and share with potential renters and vendors
  • Write up, send out, and manage contracts for all private or thirdparty events
  • Create floor plans and set up forms for private or thirdparty events
  • Schedule and manage deliveries for private or thirdparty events
  • Manage events on the day of, onsite as needed
  • Manage event vendor relationships, including updated documentation
  • Manage event supplies and equipment, including building a functional inventory and creating organized, designated spaces, and working with designated facilities team members
  • Consult with and support "internal clients" (staff and/or lay leaders) on BJ special events such as fundraisers, concerts, etc.
  • Serve as senior most Operations supervisor in Director's absence, directing, delegating and assigning work to am and pm shift supervisors and the 13 individuals on their teams. May be asked to give input into hiring and firing decisions with respect to all 15 individuals on staff.
  • Work with Operations Administrator to ensure departmental administration is current
  • Maintain Event Operations core functions
  • Communicate with internal staff, working as part of a team

Qualifications, Skills, and Experience

  • BA degree, or equivalent work experience is required, plus at least five years of event operations work
  • Experience with a memberbased organization or similar environments with a complex mix of events, programming, and customer service needs
  • Strong writing and communications skills
  • Advanced computer proficiency required, including familiarity with G Suite, AirTable
  • Highly organized with superb attention to detail; experience with online task management systems a plus
  • Ability to prioritize according to the supervisor's expectations
  • Excellent interpersonal skills and team approach
  • Creative, resourceful selfstarter with an ability to work independently
  • Ability to anticipate needs and solve problems proactively
  • Ability to work in a fastpaced environment, remaining flexible, resourceful and efficie
