Description

The Administrative Assistant 2 in the Department of Biomedical Engineering supports several faculty members and also performs tasks for the department, including general office support.

Provides a variety of clerical & administrative support which may include running reports, using word processing, spreadsheet, database, &/or presentation software; screening calls & visitors; preparing agendas & making arrangements including travel, meetings & special events; &/or managing supervisor's calendar.

Assists with website updates and may help create graphics for scientific publications and presentations.


Specific Responsibilities

:

Documents & Databases

  • Prepares manuscripts, scientific, technical &/or statistical documents.
  • Proofs for spelling & grammar.
  • Enters information into spreadsheets &/or databases.
  • Creates equations.
Website/Media

  • Coordinates content maintenance of websites &/or blogs &/or other social media outlets.
  • Trains &/or assists faculty &/or staff in updating their websites &/or blogs.
  • Helps create graphics for scientific publications and presentations
Accounting

  • Reviews budget statements as needed to assist faculty.
  • Communicates with Accounting Specialist on financial matters
  • Communicates with Financial Assistant on payroll and student funding matters
  • Processes expense reports for researchers
  • Assist with routing lab supply orders
Human Resources

  • Assists faculty member with resume download and review for staff hires
  • Communicates with MCC Customer Service Center for research staff appointments
Coordination

  • Coordinates supervisor's &/or department calendar.
  • Coordinates registration & travel.
  • Coordinates events which may include scheduling rooms &/or guest speaker & arranging for routine materials, technology & refreshments.
Contacts

  • Represents supervisor in routine/standard situations with various levels of personnel both internally & externally.
  • Performs other duties as assigned.

Minimum Qualifications:
(Education, experience, and any other certifications or clearances)


  • A high school diploma or equivalent required.
  • 2 years of administrative support or other relevant experience required.

  • A bachelor's degree and previous experience in an office/administrative setting or the equivalent combination of education, training and experience from which comparable skills can be acquired;

  • Intermediate knowledge of MS Word, PowerPoint, Excel, Adobe Creative Suite and web browsers;
  • Experience with creating images using graphic design software
  • Demonstrated ability to perform duties and responsibilities with accuracy and attention to detail and support for organizational policies, as well as the ability to anticipate demands/pressures of assignments and adjust accordingly;
  • Demonstrated ability to communicate effectively oneonone, in small groups and in public speaking contexts.

_ Target hiring range for this position will be between $17.88- $25.15 per hour. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
