Administrative Assistant (Maid Service Company)
Position Overview:
Responsibilities:

Scheduling and Dispatching: Coordinate cleaning appointments by scheduling service calls, assigning tasks to cleaning teams, and optimizing routes for efficiency.

Client Communication: Serve as the main point of contact for clients, answering inquiries, scheduling appointments, and addressing any concerns or requests promptly and courteously.

Billing and Invoicing: Generate invoices for services rendered and process payments using our billing software. Follow up on outstanding payments and resolve billing discrepancies as needed.

Database Management: Maintain accurate and up-to-date client information in our database, including contact details, service history, and special instructions.

Inventory Management: Monitor and replenish cleaning supplies and equipment as needed. Coordinate with suppliers to ensure timely delivery of inventory items.

Quality Assurance: Conduct regular follow-up calls or surveys with clients to ensure satisfaction with our services. Address any issues or feedback and implement corrective actions as necessary.

Employee Support: Assist with administrative tasks related to employee onboarding, training, and scheduling. Maintain personnel records and track employee attendance and performance.

Documentation and Reporting: Prepare and maintain various reports, including service logs, client feedback, and employee performance metrics. Compile data for analysis and decision-making.
Qualifications:

Experience: Previous experience in an administrative role, preferably in a service-oriented industry, is preferred. Experience with scheduling software and customer relationship management (CRM) systems is a plus.

Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with clients, employees, and vendors.

Organizational Skills: Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively in a dynamic work environment.
