JOB SUMMARY:
Account for U.S. domestic and foreign bank account activity for affiliates. Preparation of internal head office financial statements. Preparation and review of excel spreadsheets. Sales tax assistance. Secretarial and administrative assistance. These are essential tax, accounting, and administrative functions.


Essential Duties and Responsibilities:

_ __A successful Administrative Assistant in the Tax Department must spend over 50% of work time on, and satisfactorily perform, these general categories of duties, which require significant discretion and independent judgment_

Responsibilities include, but are not limited to:
_**- Perform day-to-day treasury operations, including ACH/ Wire & Check requests.

  • Account for interentity receivables and payables. Provide similar functions for the principals' banking needs.
  • Assist in preparing unaudited financial statements for the principals.
  • Account for various interentity promissory notes including for payments of interest and principal.
  • Assist in preparing detailed schedules used to prepare the principals' federal and state tax returns including their general ledgers.
  • Ultrahigh net worth environment.
  • Perform basic tax research, as necessary.
  • Prepare various other regulatory and tax filings.
  • Maintain property tax schedules.
  • Account for U.S. domestic and foreign bank account activity for affiliates and principals. Prepare detailed weekly cash report.
  • Prepare internal head office financial statements including preparing and posting journal entries for investment in foreign affiliates.
  • Prepare and assist in reviewing tax and accounting schedules for completeness and accuracy.
  • Prepare quarterly U.S. economic activity reports.
  • Account for numerous domestic and foreign bank accounts.
  • Assist with sales & use tax processing.
  • Secretarial and administrative assistance including copying, certified mailings, typing, filing.
  • No significant decisionmaking authority.
  • No supervisory responsibility.

Education and/or Experience:


  • Associate's degree desirable.
  • 35 years of previous experience required.

Skills and Abilities:


  • Must have excellent English spoken, reading, and writing skills. Mandarin speaking, reading, and writing skills are desirable but not necessary.
  • Approachable with excellent interpersonal communication skills and the ability to work as a team player while maintaining a high degree of customer service and confidentiality.
  • Ability to prioritize job tasks in order of changing priority and in a deadline driven, fast paced work environment.

  • Computer Skills To perform this job successfully, an individual should be proficient with Microsoft Office. Working knowledge of Google Suites.
  • Microsoft Word, Excel, Power point, QuickBooks, and Thomson Reuters individual tax software. Ability to perform Google and other searches for technical information and to enter information on various corporate and government websites.
