Position Overview:
The Event Assistant will support the Event Manager in planning, organizing, and executing various events. This role requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. The Event Assistant will be involved in all aspects of event planning, from initial concept through to event completion.


Key Responsibilities:


Administrative Support:

Maintain and update event databases, schedules, and files.
Handle inquiries and provide information regarding events.
Prepare and manage event budgets, track expenses, and ensure all financial records are accurate.


On-Site Event Support:

Assist in the setup, execution, and breakdown of events.
Coordinate with staff and volunteers to ensure event operations run smoothly.
Troubleshoot any issues that arise during the event and ensure prompt resolution.


Marketing and Promotion:

Assist in the development and execution of marketing strategies to promote events.
Manage social media accounts and update event information regularly.
Coordinate with the design team to create promotional materials.


Post-Event Activities:

Collect and analyze feedback from attendees to assess event success and areas for improvement.
Prepare event reports and summaries for review by senior management.
Assist in the thank-you notes and follow-up communications with event participants and partners.


Qualifications:

Excellent organizational and multitasking skills.
Strong communication and interpersonal skills.
Proficiency in Microsoft Office Suite and event management software.
Ability to work flexible hours, including evenings and weekends, as needed.
Creative problem-solving skills and ability to work under pressure.
