JOB DESCRIPTION AND POSITION REQUIREMENTS:

Penn State is currently seeking an Office Manager to support
the Office of Donor Relations & Special Events .

Reporting to the Director of Donor Relations and Special Events and working closely with central development offices, as well as other University partners, the Office Manager will:

  • Maintain and monitor department budget expenditures and provide budget information and reports as needed;
  • Manage the submission, approval, and payment processing of vendor and venue contracts submitted to Penn State Purchasing;
  • Provide administrative support to the Director of Donor Relations and Special Events;
  • Handle office management tasks, such as screening phone calls, ordering and inventorying supplies, submitting requests to the Office of Physical Plant, and serving as resource lead for computer support;
  • Support the special events and stewardship teams, including serving as registration back up, assisting the football cultivation program, providing onsite event support as needed, and assisting with mailings;
  • Articulate Penn State's needs, ambitions, and values, including diversity, equity, and inclusion, through excellent informal and formal communications;
  • Maintain and monitor department calendar and greet visitors entering the office;
  • Provide general office support, manage new staff onboarding procedures, and assist with special projects.
  • Proficiency in Office 365, SIMBA, SAP Concur, and Zoom. AWA, Cvent, Workday, and Workfront knowledge is helpful;
  • Attention to detail and exceptional organization skills;
  • A dedication to and understanding of the skills required to build relationships with diverse communities;
  • Demonstrated commitment to diversity, equity, and inclusion;
  • Exemplary interpersonal and communication skills;
  • A proven ability to selfmotivate and work both independently and as part of a team;

The salary range for this position, including all possible grades is:
$38, $55,500.00
