SUMMARY/OBJECTIVE
The Tenant & Legal Services Associate reports directly to the Director of Tenant and Legal Services and is responsible for the preparation of all notices of non-payment and holdover cases for PPM tenants in assigned buildings and ensuring that the computerized legal history file for each of the respective cases is constantly updated and maintained on a current basis.
RESPONSIBILITIES
- On a monthly basis, preparing all Notices to Cure and Demand Notices for mailing and service by the Process Server, posting legal status code and narrative to the respective computerized tenant legal history files and billing the respective tenant accounts for the applicable charges.
- Prepare and mail dispossess notices to the attorneys for service for the respective tenants when payment of rent is not forthcoming after service of Notice to cure and/or Demand Notice and posting of such action to the computerized tenant legal history file.
- Posting of court dates to the respective legal history files upon receipt of notification of such from L&T attorneys.
- On a daily basis, posting contents of all court stipulations for assigned buildings to the respective computerized tenant legal history files.
- Filing posted court stipulations in the tickler file for followup.
- On a daily basis, reviewing tickler file and checking to see if tenants are complying with court stipulations.
- Ordering/requesting warrants in instances where tenant is not complying with court stipulation and updating computerized tenant legal history file and status code to reflect action taken.
- When a warrant is issued by the court, requesting service of warrant of eviction, and posting such action to the computerized tenant legal history file.
- Upon request from tenant who has satisfied court stipulation/judgment, prepare Satisfaction Notices for filing by PPM's L&T attorneys.
- Responding to tenant inquiries received by phone and/or in person.
- Contact tenants by phone to negotiate payment arrangements for outstanding rent balances.
- Maintain accurate and uptodate records of all communication with tenants, payment arrangements, and received payments.
- Initiate eviction proceedings for tenants who fail to comply with payment arrangements.
- Provide excellent customer service, offering financial counseling and assistance options to tenants facing financial hardships.
- Copying and preparing former tenant record packages for transmittal to Eton Associates, collection agency.
- Receiving and making a determination on all payments for tenants on legal status, either returning them or approving them to be processed by accounts receivable and updating the computerized tenant legal history files.
- Preparing and mailing specialized letters, for example, call letters, balance letters, etc.'
- Performing duties of the Tenant Services Associate on an as needed basis, specifically in the absence of the Tenant Services Associate.
- On an as needed basis performing special duties or projects as assigned by the Director of Tenant and Legal Services.
