    The Creative Agency is looking for a dynamic and adaptable Executive Assistant with experience in media, marketing, and project management. This role involves supporting our CEO in various administrative tasks, maintaining excellent communication, and managing special projects. The successful candidate will serve as a key connection point between the CEO, staff, clients, and other stakeholders, helping streamline operations and strengthen community relations.

    This is an IN-PERSON role with an immediate hiring need.

    Key Responsibilities

    • Administrative Support: Manage the CEO's calendar, coordinate meetings, arrange travel, and prepare meeting materials. Provide timely follow-up on action items to ensure smooth operations.
    • Accounts Receivables: Oversee billing and collections, maintain accurate financial records, and ensure timely payments.
    • General Operations: Facilitate day-to-day operations, including office management, proposal and bid management, and project deadline assurance.
    • Project Management: Assist with special projects, ensuring they are completed on time and meet quality standards. Coordinate across teams and external stakeholders to keep projects on track.
    • Community Liaison: Act as a bridge between the CEO and the broader community. Coordinate community events, represent the CEO at external functions, and manage stakeholder relationships.
    • Communication: Draft emails, reports, and other communication materials. Serve as a primary point of contact for internal and external stakeholders.
    • Confidentiality and Discretion: Maintain a high level of confidentiality when handling sensitive information.

    Requirements

    • Proven experience as an Executive Assistant, with additional experience in project management and community liaisoning.
    • Proficiency in office management software (e.g., Google Suite).
    • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
    • Excellent communication and interpersonal skills, with a talent for building and maintaining relationships.
    • Ability to handle confidential information with discretion and integrity.
    • Experience in project coordination and event planning is a plus.
    • High level of accuracy and attention to detail.
