The Fulfillment Project Coordinator supports the organizations Project Managers and Customer Service Representatives in support of customers that subscribe to Fulfillment services.

This position reports directly to the Fulfillment Manager.


Daily job functions include managing the organization's Pressero portal store front for client orders and will also monitor/track orders on the internal job workorder system, Midnight.

Responsible for processing orders and following jobs through completion.

As Fulfillment Project Coordinator, you will be responsible for managing the end-to-end fulfillment process of client projects.

You will work closely with various teams within the organization to ensure timely and accurate delivery of products/services to clients.


Responsibilities:


Inventory Managment

  • Ensures inventory levels meet customer demands and validates stock levels daily for Printon Demand orders.
  • Communicates and notifies Fulfillment Manager when stock levels are either unavailable or at mínimal quantities.
  • Must have a strong background in following procedural workflows for recording order details accurately in the company's systems, maintaining organized records of inventory levels, and tracking orders and shipments.

Order Processing:

Experience in order processing, including receiving, reviewing, and processing customer orders accurately and efficiently.

Primary responsibility is to ensure that Fulfillment Print-On-Demand orders are completed within the contractual SLAs agreed in accordance with customer contracts.

Manage and coordinate order processing workflows to meet order deadlines and customer expectations.

Ensure daily communication with other departments to prioritize orders and resolve issues promptly.

Manage order processing, including picking and packing.

Oversee warehouse operations to ensure smooth fulfillment.

Track inventory and orders from receipt to delivery.

  • Worf directly with warehouse staff and activities to ensure safety, efficiency, and productivity.
  • Enforce warehouse policies and procedures to streamline operations and maintain a clean and organized workspace.

Quality Control:


Responsible for quality control tasks that include inspecting products for quality and accuracy before they are shipped to ensure customer satisfaction and minimize returns or exchanges.

Ensure packages are correctly labeled with shipping addresses.

  • Conduct regular inspections and audits to identify areas for improvement and prevent errors.

Shipping and Logistics:


  • Shipping and logistics experience preferred for coordinating with shipping carriers, generating shipping labels, arranging transportation, and ensuring timely delivery of orders to customers.

Communication:

Strong communication skills is a must.

As the Fulfillment Project Coordinator, you will collaborate daily with other internal departments such as customer service, prepress, production staff and the shipping team to resolve issues, provide updates on order status, and coordinate special requests.

There may be situations where conversations and discussions with iColor customers on orders, customer service and support are required as well.


Work closely with departmental senior managers, internal customer service representatives, prepress team, press operations, bindery department, warehouse staff, carriers, and suppliers.

Collaborate with logistics partners and external vendors.


Customer Support:


Ability to provide assistance and support to customers regarding order status, shipping inquiries, and product information to ensure a positive customer experience.


Identifying and resolving issues that may arise during the fulfillment process, such as inventory discrepancies, shipping delays, or customer complaints.


Technology Proficiency:


  • Be wellversed in ecommerce systems and inventory management systems. (Experience in Pressero and Midnight software's is a plus)


  • Computer knowledge required

  • Proficient in Microsoft Word, Excel, working with PDFs

Physical Demands:


  • Understand that the role may involve physical tasks related to warehouse operations.

Qualifications:


Bachelor's degree in business administration, logistics, supply chain management, or 3+ years proven experience in fulfillment, warehouse management, or logistics, with demonstrated leadership abilities.


  • 3+ years of Customer Service experience is required, with prior management experience
  • Strong analytical and problemsolving skills, with the ability to analyze data and make datadriven decisions.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively across departments and communicate with external partners.
Knowledge of regulatory requirements and best practices in inventory control, warehouse safety, and transportation logistics.
