Salary Range:

Project Overview


Bechtel has been designated by The Santa Clara Valley Transportation Authority (VTA) to oversee Construction Management Services for Phase II (BSVII) of The BART Silicon Valley Program.

The Program extends the BART system from the Berryessa Station in north San Jose, through downtown San Jose, and onward to Santa Clara University.


This significant project involves a six-mile, four-station extension, connecting the Phase I endpoint at the Berryessa/North San Jose BART station to the Santa Clara Station in the City of Santa Clara.

BSVII envisages a 54-foot single-bore tunnel, three underground stations, one at-grade station, and a maintenance facility.


Position Summary


Oversees diverse office services functions such as office relocations, renovation projects, space management, office operations, supplies, furniture, equipment, telecommunication, security, facility safety, health protocols, reprographic services, mail handling, transportation, and other ancillary services.

Develops and deploys innovative systems and procedures, setting operational standards.


Responsibilities

  • Plans, supervises, and coordinates any of the services mentioned above, engaging suppliers and subcontractors.
  • Could lead a small team of administrative assistants and office staff.
  • Prepares management reports including task statuses, expenditure analyses, staffing details, technical services and equipment, workload measurements, and material/supply inventory.
  • Establishes objectives, devises work strategies and budgets, identifies personnel and resource needs, schedules tasks, and tracks progress.
  • Manages budget and oversees cost control and capital expenses.
  • Contributes to and assesses workflow enhancements.
  • Crafts procedural manuals and instructions. Educates others on relevant processes.
  • Maintains facility and office services records as per Project Document Manager's instructions.
  • Collaborates with Project Document Manager on retention and archiving obligations as per organizational guidelines.
  • Devises, advocates, and implements goals, policies, plans, systems, and procedures to streamline operations and boost efficiency.
  • Interviews and selects providers and contractors.
  • Develops work plans, strategies, budgets, and staffing needs. Schedules assignments accordingly.
  • Coordinates and executes relocations.
  • Manages implementation and reporting of computer-aided facility management tools.
  • Handles physical security coordination and maintenance.
  • Determines stationery/supply necessities and approves procurements.
  • Manages service-related contracts coordination and maintenance.
  • Executes Safety and Health programs.
  • Adept in sustainability practices and provides guidance for implementation.
  • May undertake personnel administration tasks like salary planning, career guidance, and performance assessments.
  • Might contribute to evaluating or adopting new technologies.
  • Might participate in establishing services at project sites or other premises.
  • Undertakes additional duties as directed by Document and Information Manager or proactively assumes tasks wherever suitable.
  • Capable of handling Administrative Assistant responsibilities as needed.
