Job Summary:

The primary function of the Personal Lines Service Representative role is to provide administrative support to our personal lines customers. Quoting new and renewal business, processing personal lines changes, answering the customers' questions and daily interaction with personal lines customers, both on the phone and in persona. The position is accountable to provide a positive customer service experience through general processing and coordination functions to client needs are met accurately and timely.
Responsibilities:

  • Provides overall administrative support to Personal Lines customers.
  • Processes and distributes various agency reports.
  • Provides printing, scanning, folding, collating, stuffing, metering on special projects and mailings.
  • Processes daily mail for agency; Applies necessary postage for outgoing mail, maintains the mailroom and all aspects of the mail machine; scans, indexes and distributes incoming mail/faxes and deliveries following appropriate confidentiality guidelines.
  • Handles incoming calls using a multiline phone system, directing callers to the appropriate team member.
  • Issues certificates of insurance, ID Cards, and mortgage evidences of insurance.
  • Performs office inventory, ordering and stocking of office supplies.
  • Accurately enters data into multiple platforms.
  • Updates driver records and lists and orders Motor Vehicle Records (MVRs) for Service Teams
  • Troubleshoots Printer and Fax Machine issues as they arise to ensure mínimal downtime.
  • Coordinates client visits by reserving meetings rooms, preparing necessary materials, and providing food and beverages.
  • Prints and distributes daily invoices.
  • Aids in vendor communications necessary for facilities maintenanceSenior Level Responsibilities:
  • Performs verbal confirmation of insurance coverage to certificate holders as needed.
  • Recommends process improvements and ensures support workflows are documented and up to date.
  • Actively takes on tasks and projects and require increased knowledge of the agency management system, insurance/benefits coverage and agency processes.
  • Prioritizes incoming work requests and proactively collaborates with teammates to anticipate backup and service needs
Requirements:

Current Property and Casualty License is a plus, must be willing to undergo licensing within 1year of employment. Ability to work toward additional professional designations. Strong computer skills and a high level of comfort in a virtual work setting. Strong knowledge of Microsoft Office products. Ability to work in a fastpaced environment with mínimal instruction and a high degree of accuracy and attention to detail. Excellent verbal and written communication abilities. Ability to work well on a team. Strong organizational and multitasking abilities Education/Experience:
  • High School Diploma or GED.
Minimum of 1 year experience performing administrative functions / 3 years for senior level
Physical Demands:

Long periods in a seated position Screen Exposure Large amounts of typing Must have access to a reliable source of transportation
