    Description

    Formative is seeking an Executive Admin (EA) to help ensure that senior leadership priorities are met, organizational goals are achieved, and operating best practices are upheld.

    This role reports to the VP, Operations and is a part-time, non-exempt, in-person position in our Seattle office.

    This person should have experience working in an office environment, performing administrative duties, and serving as a trusted partner to deliver against the priorities of the business.

    Given the dynamic nature of our business, we rely on executive admins to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.

    We are looking for someone who values loyalty and stability - someone who wants to be in a long-term EA position.


    Requirements

    Experience

    • 3+ years of experience as an Executive Assistant required; experience supporting multiple executives is preferred
    • Experience working in a consulting firm, marketing agency, or similar service-based business
    • Experience performing administrative work that requires planning, initiative, and managing progress to plan
    • Demonstrated experience in project management, meeting coordination, and customer service
    • Familiarity with basic accounting and project management principles is preferred

    • Highly motivated and organized with strong attention to detail and drive for task completion
    • Able to work effectively and prioritize with minimal supervision; ability to adapt in response to changing priorities and needs
    • Strong multi-tasker with an appreciation for the challenges of supporting teams with diverse personalities in a hybrid and remote working environment
    • Strong relationship management skills, the ability to build a personal network throughout the company
    • Excellent written and verbal communication skills including advanced proficiency and strong working knowledge in Microsoft Teams, Word, Excel, PowerPoint, Outlook

    Responsibilities

    • Provide coordination, monitoring, and communication of projects and programs managed by the Operations department
    • Provide scheduling support, including candidate interviews, and coordinate logistics for internal and external meetings, conferences, and special events
    • Contribute to team meetings and executive leadership by leading the planning, taking notes, and moving relevant action items forward
    • Complete special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
    • Provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
    • Monitor compliance with contract management and InfoSec policies and procedures
    • Manage and organize contact lists, ensuring accurate and up-to-date information
    • Maintain professionalism and strict confidentiality
    • Other additional and/or alternative duties as assigned, including supporting other departments or executives as needed.

    Work Location and Hours
    This position requires in-person work from our downtown Seattle office, with occasional opportunities for remote work. The work schedule is 4-6 hours per day, Monday through Friday. Actual work hours may be flexible depending on the employee's needs.


    Pay Rate
    The pay rate for this role is $36/hour.


    Benefits
    This position accrues paid time off and 15 and paid company holidays. In addition, Formative contributes a percentage of your salary to a 401K account that is 100% vested. This position is not eligible for insurance benefits.
