Your Best Address is a South Dakota–based mail forwarding and digital mailbox company serving RVers, digital nomads, remote professionals, and business owners nationwide. We handle high-trust documents, including vehicle titles, banking information, legal mail, government correspondence, and personal documents.

Our clients rely on us for accuracy, speed, compliance, and exceptional service. We operate under strict USPS CMRA regulations and maintain a 24-hour service level agreement (SLA) on all requests.

We are growing and seeking a highly organized, detail-oriented Outbound Mail Specialist who thrives in a fast-paced, high-accuracy environment.

Position Overview

The Outbound Mail Specialist is responsible for ensuring all outgoing mail, digital forwarding, scan requests, deposits, and client shipping requests are completed accurately and within our 24-hour SLA (Monday–Friday).

This role requires:

• Strong attention to detail
• High task completion speed
• Exceptional time management
• Accuracy in shipping and label creation
• Comfort assisting clients via phone and email
• Ability to follow structured processes and SOPs

This is not a passive or slow-paced position. It requires focused execution and consistent daily performance.

Core ResponsibilitiesOutbound Mail Processing

• Print daily master list of outbound requests
• Pull and verify mail matches correct client and box number
• Remove junk mail if client preferences require
• Package mail securely and appropriately
• Select correct courier and shipping level (especially for sensitive items such as credit cards, passports, titles, etc.)
• Create accurate shipping labels
• Print and verify manifests
• Prepare mail for courier pickup

Digital Forwarding & Scan Requests

• Print digital forwarding list
• Pull items accurately
• Complete open & scan requests
• Upload documents correctly to client portal
• Return physical mail to proper bins

Special Handling

• Process check deposits
• Process discard requests
• Send "No Mail" notifications when applicable
• Log shipping costs accurately

Client Support Assistance

• Answer inbound calls related to shipping, tracking, and mail status
• Respond to email inquiries professionally and empathetically
• Provide tracking updates and packaging confirmations
• Assist clients with shipping upgrades or timing concerns
• Maintain calm and professional tone even with escalated situations

Performance Expectations (KPIs)

You will be measured on:

• Outbound Accuracy Rate (right mail, right client, right courier)
• SLA Compliance (all requests completed within 24 business hours)
• Label Creation Accuracy
• Daily Task Completion
• Client Communication Responsiveness
• Shipping Cost Entry Accuracy

Accuracy is critical. Errors can impact client banking, DMV filings, business compliance, or legal matters.
