- Offer robust administrative assistance to the Executive Vice President and Managing Director, Head of Global External Affairs, and the External Affairs team.
- Organize meeting schedules, arrange and attend conference calls for the executive, relevant committees and forums, and the External Affairs team.
- Compile, organize, and distribute official correspondence for the executive.
- Coordinate domestic and international travel logistics to facilitate individual and group meetings with the association's members, Board of Directors, consultants, and media.
- Provide support for invoices and prepare expense statements, including validating charges, facilitating approval processes, and reporting.
- Update internal and external documentation related to members, Board of Directors, prospective members, and media.
- Interact with members and the media while upholding strict confidentiality regarding all acquired information.
- Deliver administrative support to other internal teams, as required.
- Undertake other assigned responsibilities.
- Preferably hold a Bachelor's degree.
- Minimum of 3 years' experience supporting a senior executive.
- Proficient in computer skills, including Microsoft Outlook, Word, Excel, and Concur. Proficiency in using video conferencing tools is a must.
- Demonstrated capability to take initiative and collaborate effectively within a team, with strong interpersonal abilities.
- Exhibit a high level of professionalism and keen attention to detail.
- Excellent written and verbal communication proficiencies.
- Good time management skills and adept at handling multiple tasks concurrently.
- Capable of performing well under pressure, confidently managing last-minute details and changes.
