Administrative Assistant to the High School Principal

Hempfield High School

Job Summary:

Provide support to the High School Principal in a manner that is professional, diplomatic and complies with confidentiality requirements.


Position Information:


  • Full-Time, 262 days per year, with benefits
  • Range H3, Starting Salary $20.1 7:30 am 4:00 pm, with 30minute lunch, 8.0 hours/day

Primary Duties and Responsibilities:


  • Coordinate and facilitate graduation events including ordering diplomas, caps and gowns, flowers, work with outside venue to coordinate event, etc.
  • Organize Senior Awards including distributing award information to teachers, counselors and organizations, compiling names and addresses, collecting awards, etc.
  • Receive, update, and distribute curriculum guide pages to be updated by other staff and ensure all updating occurs before going to print or publishing the book.
  • Prepare school mailings including but not limited to: Back to School Night, Parent Course Selection Night, Keystone results & schedules, etc.
  • Generate high school communications, using a variety of platforms, to inform staff and community of HS events.
  • Coordinate building usage for the high school with the custodian, athletic director and department heads and maintain HS calendars accordingly.
  • Coordinate support and information to other building secretaries and high school support staff on a daily basis.
  • Collect purchase orders, requests for checks, and monies for student activity accounts.
  • Collect support staff timecards and personal request forms for all faculty and staff, obtain principal's signature and distribute (for anyone still using paper version).
  • Complete, copy and distribute monthly faculty agendas, department supervisor agendas, and parent advisory council agendas.
  • Perform office duties including sorting mail, answering phones, answering questions for faculty and staff and maintaining regular and confidential files.
  • Distribute room and cabinet keys when necessary. Check access cards and distribute new cards when necessary. Maintain inventory of staff keys.
  • Reconcile electronic time sheets. Verify hours with employees and make necessary adjustments, as needed.
  • Generate and process all purchase requisitions for supplies needed at the High School.
  • Process class coverage forms and enter the data into the district's tracking system.
  • Perform other duties as assigned.

Qualifications:


  • Two years' experience as a secretary preferred
  • High school diploma or equivalent necessary
  • Diploma from an accredited secretarial training program preferred
  • Submission of preemployment medical examination (Section 148 of the PA School Code)
  • Such alternatives to the above qualifications as the Board may find appropriate and
acceptable
