Essential Functions:

The Intake Assistant assists the Program Manager and Clinical Counselor(s) in the daily operations of the program.

This person must be able to effectively communicate in person and over the phone with participants and outside referral sources.


Intake Assistant Responsibilities:


  • Answer and screen all intake telephone calls and gather all necessary data from potential participants and referral sources.
  • Give accurate information on agency services to callers regarding available services, hours of operation and other static information.
  • Make appropriate referrals within agency departments or schedule participants for initial screening/assessment interview.
  • Make appropriate referrals to other agencies when services are not provided by HAS.
  • Confirm participants' attendance for scheduled intake appointments.
  • Followup with participants who do not show up for scheduled intake assessment appointment and for initial group sessions.
  • Meet with walkin participants on an as needed basis to screen and schedule or refer to beneficial services.
  • Escort participants to the appropriate agency department.
  • Compose monthly status reports and/or other documents pertaining to participants or perspective participants for specified referral source(s) using information within participant's EHR.
  • Generate weekly activity reports and Funder reports as requested.
  • Verification of insurance benefits.
  • Attend and participate in agency and staff meetings.
  • Participate in agency fundraising efforts.
  • Perform other duties as assigned.
  • Business Office Backup for the following tasks:
  • _Monthly MEDI Medicaid Check for RIN numbers_
- _Verification of Policy Numbers entered for MCO Payers - to be transition to Armitage after replacement found_
- _Addition of Gambling Payer to all clients - to be transition to Armitage after replacement found_
- _Posting of Medicaid Payments - to be transition to Armitage after replacement found_
- _Payment approval - to be transition to Armitage after replacement found_


Intake Assistant Qualifications:


  • Must have excellent organizational skills.
  • Must have above average written and oral communication skills.
  • Must have excellent typing and editing skills.
  • Must be able to respond to crisis situations effectively.
  • Must be able to provide support and set limits when needed.
  • Must be willing to work flexible hours, including 2 evenings per week.
  • Bilingual/Bicultural preferred (English/Spanish).
  • H.A.S. requires all staff to work onsite.

Education and Experience Requirements:


  • Associate degree from a regionally accredited educational institution which has U.S. Department of Education approval, or, 2 years' experience in an office environment is preferred.
