GENERAL POSITION INFORMATION

POSITION OVERVIEW

ESSENTIAL FUNCTIONS

  • Follow up with parents/guardians/customers on account inquiries.
  • Be the main point of contact for PreK campuses across the network and respond to customer inquiries and resolve issues in a timely and professional manner
  • Receive payment, post amount to customer's account, invoice account, and set up billing plans.
  • Able to process and manage subsidy accounts and caseloads.
  • Processes system requests from campus program administrators and parents/guardians/customers.
  • Act as the primary point of contact for customers and serve as a liaison between internal teams and parents/guardians.
  • Monitor customer accounts and proactively identify opportunities to provide additional support
  • Develop constructive and cooperative working relationships with others, and maintain them over time.
  • Works in cooperation with all departments to provide support as needed.
  • Works independently and within a team on special nonrecurring and ongoing projects.
  • Performs a variety of administrative and clerical tasks as needed to support the operations of the Early Childhood Education Department.
  • Works in setting program billing and accounts receivable
  • Supports creating and maintaining databases
  • Organize registration, retrieval, transfer and removal of records in the Early Childhood Education systems
  • Continuously develop knowledge of systems used through webinars and inperson professional development.

QUALIFICATION REQUIREMENTS

Education, Certifications & Experience

  • A.A./A.S. in Management or related field(required) B.A/B.S in Management or related field (preferred).
  • 2+ years as an administrative assistant or in other secretarial positions preferred.

Professional Skills & Experience

  • Child Care/Education administrative experience preferred.
  • Customer service experience is required.
  • Full comprehension of office management systems and procedures.
  • Analytical skills and the ability to work with data
  • Able to build and maintain relationships with clients
  • Excellent time management and organizational skills
  • Proficient in working both independently and as part of a team
  • Strong attention to detail
  • Spanish bilingual is required.

PHYSICAL REQUIREMENTS

  • Travel between campuses is required from time to time.
  • This position requires the need to lift objects (up to 20 pounds) on occasion.
  • This position may require sitting for long periods at times, talking on the phone, standing, kneeling, stooping, and long periods of concentration.
  • Local and instate travel required.
  • Ability to occasionally lift office products and supplies, up to 20 pounds.

  • Understand the Legacy Traditional Pre-Kindergarten and Preschool Program's structure, policies, and procedures.
  • Learn and utilize Brightwheel (registration system) effectively.
  • Identify the role and responsibilities of self and PreK campus staff.
  • Grasp the department validation process and its potential outcomes.
  • Participate in indepth training related to Oversight of PreK Programming.
  • Participate in indepth training related to Leadership of the PreK Program Administrators.
  • Participate in indepth training related to Representation of Legacy Campuses.

90 Day Goals (performance expected)

  • Meets daily commitments.
  • Perform all Early Childhood Education activities to standard with no concern.
  • Establishes procedures for effective communication with PreK Program Administrators.

180 Day Goals (accountabilities)

  • Establishes trust with Pre-Kindergarten Program Administrators for effective communication.
Validates site PreK programming for quality assurance with the PreK Program Administrator to identify the strengths and needs of the PreK Pro
