About the PositionThe Product Development (PD) team at Keys to Literacy oversees and manages the development and updates of KTL professional learning products across their life cycle. This includes masters of professional development materials in the form of online courses, books or handouts, Padlets, onsite or virtual-live training materials (PowerPoints, handouts, related activity materials, supply lists, and collection and editing of classroom examples).


Responsibilities:
The Product Administrative Assistant will support the general activities of the department, with a focus on the following areas:

  • DEPARTMENT MEETINGS_
  • Be responsible for setting up and sending reminders for regularly scheduled and specially scheduled department meetings among department staff and other KTL staff invited to meetings
  • PRODUCT FOLDERS SYSTEM_
  • Assist with uploading and maintaining the organization of current PD files in "Files for Trainers" drive
  • Assist with the management of "in progress" and historical product development files in the "Product Development" drive.
  • Assist others at KTL in accessing product related files
  • Oversee and manage training materials used by literacy trainers outside Keys to Literacy, including the storage of PD materials in an Outbound Google Drive and Resource Center at the KTL website
  • PRODUCT UPDATES & NEW PRODUCT DEVELOPMENT_
Be the first point of contact for requests by members of the KTL community for product minor edits and product updates:

  • Assist Dept in communicating with other departments about modifications to product materials and where to find current materials; make sure other departments communicate information about materials they have customized
  • Assist Dept in generating Trainer Planning Guides, including working with Relationship Management Dept to complete applicable sections
  • Assist Dept with communication with KTL and outside authors brought in for product development
  • COPYRIGHT PERMISSIONS_
  • Manage requests from third parties for permission to use KTL intellectual property
  • Assist Dept in seeking permissions for KTL to use outside intellectual property
  • BOOKS_
  • Be the department's liaison with its editor BGI and printer B&B, including being proficient in use of the BGI editing software system
  • Coordinate with outside editors hired to edit KTL materials
  • Assist authors with writing new content or making updates to Keys to Literacy books
  • Oversee suggestions and the implementation of edits to KTL and book update suggestions
  • Assist with minor editing of books during the publishing process
  • PADLETS_
  • Oversee organization of resource files on Padlets and folder system for housing Padlet materials
  • Assist Dept in creating, copying, deleting Padlets
  • Conduct a regular review of resource links on Padlets
  • SUPPORT/COLLABORATE WITH CURRENT DEPARTMENT ADMIN_
  • Learn how to use software used in the department for creating and updating online training courses
  • Learn how to use software that is used to edit and store trainingrelated videos

Qualifications and skills needed:

Minimum Qualifications: 3-5 years of relevant experience servicing clients or supporting internal staff

  • Passion for KTL's mission and alignment with organizational values
  • Excellent executive function skills
  • Detail oriented
  • Excellent communication and interpersonal skills.
  • Familiarity and proficiency with MS Powerpoint, basics of Google Suite (e.g. Google Docs, Google Sheets) and virtual meeting platforms (e.g., Zoom)
