Executive Assistant to the President

A successful on-line business owner who has a lot going on needs an organized and efficient Executive Assistant to drive business expansion and bring structure to a variety of both strategic and routine work.

Job Objectives

  • Support for President
  • Ensure the President always has the information he needs in order to do his work in/on the business. This includes
  • Identify ways to reduce the President's workload. For example, identify repetitive tasks the preparing reports and management information efficient working from president is doing and take responsibility for them. Pick up tasks the President does not enjoy doing and direct the President to do them at the appropriate time.
  • Ensure that tasks requiring the President's attention, despite his aversion to them, are completed promptly
  • Participate in training of new hires as needed to ensure onboarding is effective and consistent with company values
  • If any issues arise, gather information and make recommendations to ensure the President is briefed in time to approve resolution
  • Assist President with management of personal tasks
  • As needed, coordinate hiring of house manager, drivers for kids, and management of these persons
  • This may be delegated to house manager or other assistants
  • Project Management
  • Ensure all President's direct reports complete their assigned responsibilities
  • Ensure company financial and legal documents are organized in a centralized Gsuite drive
  • Create/Keep uptodate OKRs in collaboration with other leadership
  • Maintain the company's 2year OKR/growth/operations plan
  • Make sure human resources will be in place when required, including continuous recruitment and training of new employees and supervisors
  • Promote an attitude of showing initiative to come up with ideas, while also seeking advance approval before charging ahead
  • Review/track/recommend financial resources for short term and long term plans
  • Ensure all plans are aligned with the company goals, mission and values
  • Keep up to date with legal requirements and ensure company is always compliant
  • Ensure leadership (whether you, or the President, or others) communicate the company's vision, plans, status on a regular basis to all staff to keep them informed and excited and in harmony
  • Ensure that all company login information is stored in a centralized and secure way
  • Step in to organize some logistics when other colleagues are unavailable

You may have had a varied career to date. You've acquired a wide range of skills and you still enjoy the occasional challenge of doing something new.

You have worked as Assistant to a Senior Leader in business and you have experience of keeping multiple projects on track - project management software is your friend.

You understand finance and can prepare a cash flow forecast or a model of ROI without difficulty.

You've managed people, both directly and indirectly, and you know how to get the best out of different personality types.


You enjoy being part of a virtual team and don't lose any motivation when working alone for significant periods of time.

You're ready for a new chapter, one that will use all of your skills and still allow you to work from your home base.

Essential Experience


  • You have been Assistant to a senior person in business
  • Project management - you have managed and delivered significant projects
  • You are comfortable with highly structured businesses with standard operating procedures, have proven experience creating that structure in parts of the business that are discovered mini anarchy zones
