Administrative Coordinator (part-time)

University of Notre Dame

The Administrative Coordinator plays an important role within the Meruelo Family Center for Career Development, contributing to the advancement of strategic priorities and facilitating operational functions, particularly during pivotal strategic planning periods.


The Administrative Coordinator serves as a central point of contact for coordination efforts, manages core office functions, actively engages as a collaborative team member on various projects, and provides essential administrative support to ensure the timely completion of tasks.


Responsibilities include:

PROJECT MANAGEMENT, COORDINATION, AND SUPPORT
Collaborate with a team of administrators to facilitate the planning of signature programs (e.g. Career Fair Weeks, employer engagement, workshops, on-campus recruiting, summer internship funding program, mentorship programs, student employment programs, and more).


FACILITY OPERATIONS AND COORDINATION
Review and respond to room reservation requests for 40+ rooms. Provide desk coverage support to greet students and employers.


OTHER DUTIES, AS ASSIGNED
Performs other duties as assigned by the Associate Director and other members of the Career Development Leadership team.


Minimum Qualifications:


  • Bachelors degree required
  • Strong verbal, writing and interpersonal communications skills
  • Excellent time management skills and proven ability to organize and manage multiple priorities
  • Ability to work collaboratively and tactfully with students and other stakeholders
  • Demonstrated ability to maintain confidentiality and deal with sensitive matters in a discreet manner
  • Must be detailoriented, dependable, friendly, and a teamplayer
  • Demonstrated commitment to excellent customer service and enjoy working with college students, alumni, and employers
  • Experience working with a diverse population of college students
  • Experience working with Handshake platform
  • Proficiency with Google suite (Google Sheets, Google Slides, Google Docs, etc.)

Preferred Qualifications:


  • Experience working at a university is preferred.
  • Experience working in or with a career center operation is preferred.
