    Construction Project Coordinator

    Location: Mprgan Hill, CA

    Responsible for assisting Project Managers in organizing construction by monitoring project plans, schedules, work hours, budgets, and expenditures, organizing stakeholder meetings, and ensuring that project deadlines are met in a timely manner; perform related work as required.

    ESSENTIAL FUNCTIONS

    • Maintains and monitor project plans, project schedules, work hours, budgets, and expenditures;
    • partners with managers and clients to define project requirements, scope, and objectives that align with organizational goals;
    • Develops and maintains project performance database that tracks overall progress and project milestones;
    • Coordinates internal and external resources, ensuring that projects remain within scope, schedule, and budget;
    • Produces final finished project documents from drafts prepared by the Project Manager for review/approval of supervisor (e.g., contracts, purchase orders, change orders, RFIs, client billing and supporting documentation);
    • Runs job costing reports and performs project accounting tasks (e.g., payables, routing invoices for approval);
    • Solicits and maintains current filing of vendor insurance certificates;
    • Distribute and maintain filing of project related communications (e.g., meeting minutes, schedules, work deficiency lists, action items, product data and shop drawing submittals, RFIs);
    • Analyzes project progress and, when necessary, adapts scope or timeline to achieve optimal results;
    • Assigns roles and tasks to team members based on their individual strengths and abilities;
    • Achieves organizational goals while adhering to standards and best practices;
    • Provides administrative support to Project Manager as needed;
    • Assesses project risks and issues and provides solutions where applicable;
    • Creates a project management calendar for fulfilling each goal and objective;
    • Coordinates project management activities, resources, equipment, and information;
    • Segments projects into doable actions and establishes timeframes;
    • Assists in project budget preparation;
    • Analyzes risks and opportunities;
    • Organizes, attends, and participates in stakeholder meetings;
    • Documents and conducts follow-up on important actions and decisions from meetings;
    • Oversees project procurement;
    • Monitors project progress and handles any issues that arise;
    • Works with the Project Manager to eliminate project obstacles;
    • Uses various project management tools to monitor working hours, plans, and expenditures;
    • Issues, reads, and applies all appropriate legal paperwork (e.g., contracts and terms of agreement);
    • Creates and maintains comprehensive project documentation, plans, and reports;
    • Ensures standards and requirements are met through conducting quality assurance reviews;
    • Monitors subcontractors (e.g., onboarding, gathering W9s, COI, issuing contracts and monitoring their status);
    • Maintains project contact sheets and project folders;
    • orders materials (e.g., dumpsters, toilets, and fencing) as needed to complete the project;
    • Assists sales team with proposal packages;
    • Completes close-out packages;
    • Addresses any warranty claims;
    • Ensures safety protocols are met;
    • Verifies documentation (photos) of construction progress and final job photos;
    • Posts permits and related paperwork for permitting and inspections;
    • Meets with municipality building inspectors as required;
    • Resolves resolve any issues or mistakes that could have occurred during the project;
    • Collects Certificate of Completions documents and accepts payments from customers upon completion of work;
    • Returns excess material back to supplier;
    • Provides excellent service (e.g., accurate, complete, and timely) to clients, vendors, and company staff in a courteous and efficient.

    • Demonstrates highly-efficient time management skills; adept at multi-tasking to accomplish goals; generates purchase orders; places orders for job and office materials; produces enhancements proposals; applies support systems to ensure safety and efficiency.
    • Understands the relationship between job quality and customer service, satisfaction, and retention; focuses attention on landscape, construction, hardscape, irrigation, low voltage lighting, and site cleanliness; is committed to improving job quality at all times.
    • Consistently exceeds customer expectations; keeps customers well-informed, listens to them attentively, and addresses their concerns; enacts a personal approach to customer service.

    EDUCATION/EXPERIENCE
    An example of the preferred education, training, and/or experience that demonstrates possession of the knowledge, skills, and competencies for this position includes: at least three (3) years of landscape construction management experience similar to that described above.
