Responsibilities:


New Patient Scheduling and Processing

  • Review and manage referrals.
  • Be the primary contact for referring physicians and new patients.
  • Maintain referral records and assign patients to providers.
  • Schedule patients and collect insurance information.
  • Coordinate preappointment tests and explain procedures.

Advanced New Patient Scheduling and Coordination

  • Secure and evaluate outside medical records.
  • Prioritize patient scheduling based on diagnosis.
  • Coordinate treatment options and clinical trials.
  • Meet with patients postvisit for care coordination.

Surgery Scheduling

  • Coordinate outpatient and inpatient surgeries.
  • Ensure timely surgical scheduling.
  • Communicate with patients, physicians, and hospital staff.

Advanced Surgery Scheduling

  • Coordinate preoperative anesthesia and authorizations.
  • Ensure compliance with regulations and consent for surgical procedures.
  • Arrange postsurgical appointments and tests.

Revenue Cycle

  • Perform cash collection and explain financial policies.
  • Obtain and document insurance authorizations.
  • Work with codes for scheduling and authorization.
  • Confirm medical information accuracy.

Moderate Complex Revenue Cycle

  • Monitor provider open charts and address denials.
  • Assist with DME and medication authorizations.

Advanced Revenue Cycle

  • Secure complex insurance authorizations.
  • Interpret insurance benefits and track renewals.
  • Review monthly denial reports and analyze data.
  • Oversee staff for authorization requests.

Check-in / Front Desk

  • Greet patients and collect copays.
  • Prioritize registration and maintain reception area.
  • Assist patients with the checkin kiosk.

Advanced Check-in / Front Desk

  • Assume frontend office responsibilities.
  • Develop productivity reports and act as the public face of the clerical team.

Cadence Template Builder

  • Create userfriendly schedule templates.
  • Generate reschedule reports and avoid customer service problems.

Administrative and Patient Care Coordination

  • Schedule established patient appointments and coordinate with providers.
  • Triage phone calls and provide administrative support.

Moderate Complex Administrative and Patient Care Coordination

  • Understand clinical symptoms and provide exceptional service.

Advanced Administrative and Patient Care Coordination

  • Act as a liaison with Concierge Services.
  • Coordinate patient care activities and maintain tracking lists.

APeX and IT Specific Skills

  • Perform APeXspecific functions.
  • Encourage the use of the checkin kiosk.

Moderate Complex APeX and IT Specific Skills

  • Perform advanced appointment scheduling.
  • Assist with referral management and maintain Open Access schedules.

Phone Bank

  • Respond to patient calls and document information.
  • Convert CRM messages to telephone encounters.

General Performance

  • Prepare charts and maintain records.
  • Uphold confidentiality and participate in team building.

Moderate Complex General Performance

  • Maintain provider calendars and provide training.

Advanced General Performance

Environmental Responsibilities

  • Report equipment malfunctions and comply with ergonomic recommendations.

Customer Service Outreach

  • Provide excellent service and seek to improve patient convenience.

Lead Role Duties

  • Address escalated issues and provide staff oversight.
  • For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.
    Department Description

Required Qualifications

  • High school graduate or equivalent with four years of related experience; or college degree and six months of related experience; or equivalent combination of education and experience.
  • Strong computer skills, including basic keyboarding skills and experience with Officetype software programs.
  • Ability to analyze situations, prioritize, develop solutions, and make recommendations.
  • Excellent customer service and communication skills.
  • Strong organizational and problemsolving skills.
  • Knowledge of medical practice terminology.
  • Ability to work independently with mínimal supervision.
  • Basic math skills.
  • Ability to deal with a wide variety of individuals.
  • Ability to maintain patient confidentiality and adhere to HIPAA guidelines.
  • Ability to sit at a computer terminal for extended periods.

Preferred Qualifications

  • Experience in healthcare, including patient scheduling, insurance verification, and medical record data abstraction.
  • Prior experience with appointment, ancillary service, or surgical scheduling.
  • Bilingual or multilingual capability (Spanish, Cantonese, and Russian).
  • Experience with EPIC highly preferred.
